What would you be doing as a Project Expeditor?:

The Project Expeditor is an administrative role which supports the planning, scheduling, monitoring, and executing of energy efficiency projects. The Project Expeditor works closely with the Director of Operations, Field Operations and administrative team to ensure accurate and timely comprehensive documentation of project information, ensuring that the job-site has an adequate and timely flow of materials, equipment and subcontractor labor and to assist in the planning of tasks. Construction, former project management or technical experience is not required.

We are looking for someone who has experience in roles that require strong organization and communication skills, with a commitment to timeliness and accuracy and the ability to juggle multiple tasks. Customer-facing experience in retail or hospitality is a huge plus.

This is a full time position and includes a generous benefits package.

Job Responsibilities include:Support Director of Operations and field operations with creation/organization of project documentation throughout all phases.

Writing and issuing purchase orders to material suppliers and subcontractorsReceiving signed purchase orders and filing them in online storageEnsuring vendor paperwork is up to dateCreating job progress documents through Google Sheets

Create purchase orders to order/track materials required for project (as needed)Maintain relationships with suppliers and vendors:

Responsible for ensuring master service agreements are signed and filedPoint of contact at the utility company (permits, greentags, statement of facts, new service)Coordinate with City/DOT agencies to pull permits as needed (traffic control)Point of contact for uniforms and first aid suppliersWork closely with fleet vendor to manage and maintain internal fleet (maintenance, registrations, licensing)Workforce solutions account management and updatesVerify all Certificates of Insurance are on hand and up to dateVendor account set-up (back up as needed)Responsible for vending and snacks (in office)Point of contact for Janitorial company (scheduling, etc.)

Administrative duties:

Sort through emails dailyAnswering phone inquiriesMaintain office suppliesDigital and paper filingOpen incidents for newly reported issues and respond accordinglyCustomer reportingAssisting with organizing inventory in the warehouseInventory adjustmentsAssisting the field supervisor and field dispatch with organizing work orders for schedulingAssisting with employee timecards (reconcile physical against digital)Working with payroll department to ensure scale pay is documented according when needed
