Project Coordinator/Executive Assistant

Sound Income Group ("SIG") believes there is a fundamental need for independent financial advice across America and investors achieve better outcomes when working with a financial advisor. We provide resources, coaches, technology, access to subject matter experts and solutions to financial advisors nationwide.

SIG is seeking an entry level but enthusiastic individual to join our Marketing team. We want the humbly confident candidate that knows they don't know it all and wants to learn.

This is an onsite position; no hybrid or remote scheduling.

#1 Priority - Managing the workflow of internal and external projects.

• Ensures entire process runs smoothly and is well-organized

• Communicates with clients and marketing team members to ensure everyone is aware/up to date with all projects and tasks in progress

• Administrative tasks including creating/managing tasks inside project management software, running reports on client projects, scheduling meeting with clients and/or marketing team members and the marketing manager

• Responsible for continuously monitoring progress of all projects for internal companies and for clients. Tracks progress to ensure projects are moving forward on time



Works to ensure all deadlines are met by completion date.

#2 Priority - Executive Assistant for CMO & Marketing Manager

• Schedule meetings and manage calendars for CMO and marketing manager

• Coordinate meetings and ensure all necessary parties are invited and prepared.

• Monitor and adjust schedules as needed to accommodate changes or unexpected events. Communicate schedule changes to relevant parties in a timely manner.

• Draft, review, and send emails on behalf of the CMO and marketing manager

• Organize and prepare for meetings, including gathering documents and attending to logistics of meetings

• Coordinate travel and hotel arrangements for CMO and marketing manager

• Ensure all meetings and/or calls are properly documented and recorded in company databases.

• Provide administrative support as needed to ensure efficient and effective scheduling processes.

• Other administrative job duties as assigned.

Requirements

• Education: bachelor's degree in related field

• Experience: entry to early career level (1-3 years' experience)

• Skills: Comfortable with project management software (e.g. ClickUp/Asana/Monday), all Microsoft office products
