Meeting Producer

NAREIM, Remote, Work from USA

Salary: Competitive with excellent benefits

Level: Experienced

Duration: Full Time

NAREIM is an industry association focused on business and organizational strategies for real estate investment management. We have more than 110 corporate members representing almost $3.4tn of assets under management. NAREIM is all about small group connections and benchmarking research. We are a remote organization, with staff members located in NJ and SC.

We are deliberately a small association to ensure truly candid conversations — and idea sharing — among peers, across our departmental groups. Members lean on NAREIM as the safe space to discuss the difficult issues they face in their roles, groups and firms.

What does the Meeting Producer job entail?

Production of NAREIM’s annual program of in-person and virtual meetings:

  • The Meeting Producer will be assigned a group of functional groups/Committees to cover. Day-to-day work includes setting up Committee calls, helping Committees discuss sessions and case studies, writing meeting agendas, composing marketing emails and social media posts to promote registration, scheduling prep calls ahead of meetings, speaker outreach (where required) alongside member outreach and ensuring adherence to budgets and paid attendance for in-person meetings.

Production of NAREIM’s thought leadership & benchmarking:

  • The Meeting Producer will work with staff members and a freelance editorial team to produce NAREIM’s annual magazine, Dialogues, and its Year in Review, plus other ad hoc marketing and thought leadership.
  • Dialogues and the Year in Review require the Meeting Producer to promote and reach out to NAREIM members, ensure members meet all necessary deadlines for articles and conduct interviews for roundtable Q&As.
  • The Meeting Producer may also be asked to write key takeaways for fellow team member meetings.
  • The Meeting Producer may be asked to assist fellow NAREIM staff to help with the production or promotion of NAREIM’s benchmarking research as well as member surveys.

Member communication & distribution lists:

  • As part of their role, the Meeting Producer will also be in constant communication with NAREIM members, not only through their work with Committees, but also in relation to outreach to new members and members they have not yet connected with. As part of each meeting, the Meeting Producer will be responsible for the meeting budget and helping increase paid attendance, something achieved through constant communication with the membership base.
  • The Meeting Producer will also keep all distribution lists and contacts up to date as part of their outreach and retention work with members.

Time management & team communication:

  • A critical requirement for the Meeting Producer is the ability to effectively manage their time. Working largely in a remote environment, it will be down to the Meeting Producer to balance multiple, sometimes conflicting, deadlines for meetings and programs, for instance, the Meeting Producer could be working on four in-person meetings at any one time.
  • NAREIM is also a small association in which all roles are highly interconnected and reliant on one another to succeed. It is imperative therefore the Meeting Producer keeps team members up to date with all stages of the production process.

Travel is required to all NAREIM in-person meetings:

  • The Meeting Producer will be expected to travel at least 10 times per year to attend all NAREIM meetings, not just those meetings/functional groups assigned to the Meeting Producer. The number of meetings per year depends on the NAREIM Calendar for any given year. Note, NAREIM calendars change year-over-year, and there is no guarantee that travel requirements may not increase in future years.
  • The Meeting Producer may also need to travel to a small number of external industry events, typically held in the US, as well as attend NAREIM all-team meetings held twice a year in the US.

Produce NAREIM meetings in adherence with NAREIM budgets:

  • Working with the Head of Programs and Event Manager, the Meeting Producer will ensure NAREIM remains in line with meeting budgets, not least helping to increase paid attendance YoY for meetings and keeping meeting expenses in line with operating budgets.

Ability to work independently, remotely:

  • All NAREIM staff members participate in a weekly video call to share progress and updates with one another. Editorial-only team calls will be held weekly, with additional team calls held as needed. All team calls are required to be held on-camera.
  • To help team members connect, NAREIM holds an in-person, all-team meeting twice per year, typically held in January and the summer, and typically lasting two days. The meetings are held in the US in a central location to all team members.
