Within the spirit of "Making People's Dreams Come True", this position helps develop, deliver and oversee the completion and fulfillment of marketing materials in support of Properties of The Villages and other related businesses. This position effectively and proactively communicates between related members of the marketing team and the business and/or individual client requesting services. In addition, they help give guidance to fellow Marketing Coordinators with the day-to-day operations. Duties may include, but are not limited to, fielding telephone calls, receiving and responding to email requests, processing orders, tracking, producing reports, scheduling appointments, maintaining online marketing ordering systems and programs, maintaining inventory, managing projects and timelines in addition to operational functions that support marketing proficiency, production, and morale. This role is a vital member of the Marketing Team.

Full-Time, On-Site position.

Competitive salary based on experience, starting at $18.00 per hour.

Responsibilities:

Helps Assistant Marketing Manager(s), Marketing Manager(s) and greater marketing leadership with daily tasks and duties as requested.Acts as a ‘go-to’ for fellow Marketing Coordinator(s) in support of completing client requests, guiding tasks, duties, and priorities.Develops, delivers, and oversees the completion and fulfillment of marketing materials in support of known client business plans.Liaisons with various Marketing Team functions (creative, sales and marketing design, production, etc.) to ensure customer needs are met and/or exceeded with accuracy.Maintain positive, proactive, and timely communication between individual.clients/businesses and affected members of the Marketing Team.Sends out marketing deadline request communications throughout the calendar year.Maintains online marketing programs and account access, resetting passwords, adding users, removing users, troubleshooting the system, updating content, etc.Attends to client marketing requests (via in person, phone, email, online) in a friendly and efficient manner (ex: listing withdrawals, just listed card orders, newsletters, virtual videos, promotional items, etc.) making sure expectations are met and exceeded.Organizes marketing inventory; maintains product count, replenish supplies, place orders online, send proper notifications to affected parties, etc.Creates and prints marketing materials as requested (ex: mailing labels, etc.).Launches, monitors and updates project tracking and timelines to ensure deadlines are met in a timely manner; proactively notifying others as needed along the way to ensure targets are achieved.Maintains client charges by adding and updating our systems accordingly (ex: MyPoints).Reviews advertisements to ensure accuracy of data (ex: starting at pricing, etc.) and makes proactive corrections when warranted.Receives marketing materials, sort by order, and ensures all contents are packaged together correctly (ex: newsletters, etc.).Coordinates client supply orders for new teammates; assembling packages for presentation.Acts as a runner; couriering marketing items to various internal locations when called upon.Maintains, manages, and schedules marketing calendar(s); review rotation availability and updates as needed.Conducts routine administrative tasks and functions (ex: sales mapping and neighborhood page checks).Generates marketing reports as requested.Files documents, develops, and modifies filing practices – this includes the usage of electronic in addition to paper records.Uses office computer and a host of other software applications, including Microsoft Office. Suite, Customer Management Systems (I-series, Lasso) and subsequent marketing and administrative management tools (ex: MyPoints, Marketing Store) and equipment (copier, fax, etc.).Prepares documents and materials in Microsoft Office Suite programs by using predefined templates or by creating them from scratch (excel, word, etc).Resolves administrative concerns by consistently assessing needs in advance and identifying solutions in a proactive manner.Consults with marketing leadership to navigate difficult customer service scenarios/marketing situations as needed.Education/Experience Requirements:

Bachelor’s degree (B.A.) or equivalent from four (4) year college or technical school; or four (4) years related experience and/or training; or equivalent combination of education and experience.Degrees and/or experience in marketing, sales, customer service or related field preferred.Must have software computer knowledge to include Microsoft Word, Outlook, Excel, Publisher, and PowerPoint. Customer Relationship Management (CRM) software familiarity a plus.Requires strong interpersonal skills, project coordination experience, flexibility, and the ability to creatively problem solve and multitask in a fast-paced environment.Must be able to work well with all levels of internal management, team members and outside clients and vendors, to produce the ultimate internal and external marketing experience.
