Position SummaryThe Senior Associate / Project Manager is responsible for all aspects of project deliveryincluding providing professional management and project planning, budget management, profitability management, coordination with members of the project team, and working collaboratively with the client on an on-going basis. This position is also required to participate in new business opportunities by seeking new work and partnering with the Marketing Manager to develop proposals.Location: Oakland, CA or Orange, CA areas. Hybrid work environment.Job Responsibilities1. Project ManagementAlign internal workflow with scope:Develop project strategies consistent with client objectivesInitiate and lead project kick-off meetings and debrief meetings at the conclusion of a project.Manage project planning and process approachManage preparation and completion of project deliverables and activitiesDetermine and coordinate resource and staffing needs for each assignment, delegate work tasks appropriatelyMaintain weekly tracking document of staff assignments for projectsMaintain three-month look ahead of assignments for staff per projectMaintain effective team communication about changes in the objectives, scope, budget, and scheduleManage scope and budget for proposals:Review project contract and ensure that project delivery meets the contracts expectations for deliverables and budgetEnsure that costs are kept in line with the original budget for time, travel, and material expenses.Discuss potential scope creep with PIC and clientProactively obtain signed authorization for out-of-scope work through a budget or Task Order augment memo to ensure payment for services renderedMaximize Project ProfitabilityCreate appropriate project budgeting/pricingEnsure appropriate utilization of staffImplement cost controls to maximize the profit margin on individual projectsReview unposted labor for projects weeklyMaintain overall 10% profitability on projects unless otherwise arrangedMaintain utilization of 80% or higherAssist management team with maintaining utilization targets for junior staff2. Team DevelopmentManage, coach, and motivate the project teamIdentify and initiate team coaching opportunitiesGive appropriate and timely feedback to staffConduct performance reviews for Associates and/or Coordinators3. Client RelationsPartner with clients to understand and achieve their goalsInitiate and maintain positive client relationsInitiate and maintain day-to-day client contact and communications o Prepare accurate and thorough progress reports4. MarketingProduce a growing level of new and repeat business, with a target of bringing in $500,000+ of project work each yearBe proactive in presenting and communicating the capabilities and strengths of the company to all clientsClient Retention - Meet regularly with key clients to discuss current projects, evaluate firm performance, and identify other business opportunities.In support of the practice areas overall Business Development plan, target potential or existing clients, set up meetings, and identify new projects that may exist or are being formulated.Track positioning activities in Deltek Vision CRM databaseWrite marketing materials to support new business development and create project scopes, budgets, and schedules for proposalsCollaborate with the principals and proposal team to develop win themes and teaming strategiesPrepare for and participate in project interviewsWork with Accounting Department on contract negotiationsAttend pre-bid meetings when appropriateJob RequirementsDegree in communications, journalism, or related field5-7 years of experience in the fieldSolid background and understanding in providing strategic communicationAccomplished writer of business and public information materialsClient service orientatedStrong client management and development skillsEffective, efficient project management skillsEffective marketing skillsStrong communication and presentation skills, as well as knowledge and understanding of the application of social mediaStrong planning and organization skillsHigh quality product and service deliveryTeam leadership, motivation, and delegation skillsAttention to detail and ability to manage multiple projectsProficient in MS OfficeValid drivers license and clean driving recordTravel during workday, at nights, and on weekends to public meetings and events, typically 1-2 times per monthPhysical demands include ability to lift and carry meeting and event supplies up to 20 pounds, typically to and from vehicle and event location.Work environment is office setting and occasional work at public events
