Manage all financial, attendance and payroll documentation for the collections department.Financial and payroll documentation management:Collecting timesheet data and payroll information.Entering information into payroll and administrative databases and software programs, i.e., Kronos.Maintaining accurate records of payroll documentation and transactions.Responding to payroll related inquiries and resolving concerns.Preparing periodic payroll reports.Ensuring compliance with company policies and union regulations.Coordinate Time and Attendance Counseling.Tracks and documents attendance of staff.Maintains lateness record.Manages staff tuition reimbursement process.Manages staff disability documentation process and communicates with staff as to status.Verify mileage reimbursements for accuracy prior to submission to corporate accounting.Processes billing payment as applicable.Provide administrative support for Donor Services:Updates regional telephone listing.Generates status change and requests for personnel forms as needed.Resource for donors and staff for inter departmental problem solving.Oversees vendor contract and service for copier and fax equipment.Responsible for ordering name tags for staff.Responsible for replacing staff bar codes.Responsible for ordering/maintaining TL/Pic NYBC cell phones and loaner phones.Provide general administrative support for the department:Answers and screens incoming calls on main NYBS telephone line. Directs calls and information as appropriate to ensure efficient operations.Provides driving directions, fixed site locations to donors, staff, and management as necessary.Follows up with discrepancies as needed.Prepares, photocopies, and distributes staff memos as requested.Maintains inventory of office supplies and orders as necessary.Assists staff with use of office equipment.Provided back up support to all administrative specialists.The above consists of the essential duties for this position, any staff member can be requested to perform additional related duties as required and unrelated duties as requested during emergencies.

Qualifications:Education: High school diploma or equivalent required.Experience: At least 2 years' experience in administrative/clerical area.For applicants who will perform this position in New York City or Westchester County, the proposed hourly salary is $33.52/hr. For applicants who will perform this position outside of New York City or Westchester County, salary will reflect local market rates and be commensurate with the applicants skills, job-related knowledge, and experience.Unless otherwise specified, all posted opportunities are located in the New York or Greater Tri-State office locations
