The
Preconstruction Coordinator
supports our Preconstruction and Estimating, as well as Marketing and Business Development teams through timely and accurate calendar and document management, lead generation, bid coordination and communication with subcontractors and architects. The ideal candidate is organized, and enjoys working in a fast-paced, collaborative environment.
File Maintenance:Create, organize and maintain electronic and/or hard files as directedIn-house filing during bid processFacilitate files getting to storage when necessaryMaintain log of files sent to storageMaintain destroy dates and facilitate file destructionBid Document Management:
Maintain bid information on company calendar i.e Pre-Bid, Bid dates, etc.Obtain bid documents from architectMaintain log of bid documents / plan depositsManage all work necessary for document scanning and copying with the reproduction companyEdit, name, upload and manage bid documents electronicallyCreate bid project within Dodge and upload bid documents and subsequent addenda documentsFacilitate subs / suppliers obtaining drawingsDodge access / Follow Up Invites & Addendum NoticesOnline document distributionContact with reproduction companyCopies of addendaReturn documents to architects and facilitate return of plan depositsThrow away excess bid documents for unsuccessful bidsMaintain vendor database within DodgeEnter new vendors from all bids receivedSend out Bid Invites and Addenda Notices from DodgeAssist in sub / supplier phone contact as directed by DMUpdate bidder status within DodgeAssist in distributing quotes on bid day to estimate teamScan and organize bid day tab sheets and quotesAssist in preparation of estimate turnover meeting informationManage Subcontractor Qualification processAssist with RFQ / RFP submissionsSupport Marketing effortsFill in for, and support of front desk as neededSearch job boards and other internet sites for project leadsGenerate AIA contracts and change ordersSet-up custom documents in Procore and communicate any changes to the Project AdministratorsProcess invoices / accounts payable as neededMaintain estimating calendarAny other tasks that may be assigned by managementCompetencies

Bachelor’s degree, preferably in Business Administration, Construction / Project Management, or equivalent preferred1+ years general construction experience in the commercial space or the likeProficient with MS Excel, MS Word and project management softwareFamiliar with Dodge databaseMust be able to successfully pass a pre-employment criminal, driving and drug screenMust possess a current and valid state driver’s license and a clean driving record
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties the employee is regularly required to make use of close vision to read engineering blueprints and reduced size black and white drawings, specifications, fine print, reports, schedules, estimates, spreadsheets, summaries and other documents in either hard copy or computer monitor. Must be able to converse on the telephone and in person, use hands and fingers to write and type, prepare email messages with attached files and use personal computers and calculators. The employee will periodically need to lift and/or carry heavy documents such as specifications and/ or equipment, weighing up to 25 pounds.
