SUMMARY

The Marketing Coordinator is responsible for assisting the department in maintaining and updating the CRM database and creating marketing materials for proposals, project sheets, resumes, tradeshows, award submittals, promotional materials, and other marketing deliverables. This role will also assist with the website, social media activities, videography, photography, promotional merchandise creation, and other creative content. ESSENTIAL FUNCTIONSUpdate information systems, including the CRM and marketing Synology database, master resumes, project descriptions, and boilerplate contentCapture new project information and the closeout of project information into the marketing databaseBuild upon CRM Database to create proposal automationCoordinate and assemble client-based proposals and presentationsManage and assemble internal presentations, including the January Kickoff, Quarterly Updates, and monthly PM/Superintendent MeetingsDesign and assemble resumes, project sheets, and marketing packages in InDesignCreate copy for project sheets, marketing collateral, proposals, and award submittalsWork directly with senior-level staff to prepare proposal materialsEnsure all proposal sections are compliant and answer questions clearlyRequest required proposal and interview answers/visuals promptly from the teamComplete all phases of proposal creation from peer review of rough drafts to completion and delivery of the proposal and interview items by the required deadlineCoordinate and assemble materials for award submittalsUpdate company website, ADP home page, and creation of social media contentCoordinate with a team the planning of corporate events, including the fall dinner, fundraising events, and employee functionsCoordinate with a team to plan conferences and tradeshows, including registering attendees, booth setup and staffing, and the creation of marketing materials and handoutsActively participates in the Ambassador role on the Employee Communications CommitteeUpdate all lobby monitors with event photos, project photos, and welcome signsUpdate project workload and AIA 305 forms quarterlyShooting minor photography and videography of employees and eventsCoordinate details with vendors, including photographers, videographers, printers, and suppliersIllustrative design and graphics creation for promotional merchandise, job site signs, and event displaysCreate and assemble new hires, and we care gift packagesAssist with employee branding through the creation of internal marketing materials, HRIS branding, ordering business cards, photography, and creating and assembling new hire and employee care packagesEnsure all materials are effectively communicating the strategic vision identified for a given pursuit and align with the organization’s BrandReport back to Marketing Manager when assigned additional tasks from other departmentsCommunicate clearly and timely across the company; takes action to request information necessary to meet customer expectations and internal deadlinesMaintain healthy, professional relationships, both internally and externallyCreate a consistent, professional work product that meets or exceeds standardsPromote and support a culture of inclusion where opinions are heard, valued, and respectedPromote a positive company image through both communications and actions.Perform other incidental and related duties as required and assignedQUALIFICATIONS

Bachelor’s Degree majoring in Business, Marketing, Graphic Design, or Communications or equivalent experience required1 - 3 years of experience in proposal writing or marketing experience in the A/E/C industryIntermediate experience in Adobe InDesign, Photoshop, and Illustrator experience preferredProficient in Outlook, Word, PowerPoint, and ExcelPrevious experience creating professional social media contentPrevious experience creating content via HTML is preferredAbility to work independently and as part of a team on multiple projects with deadline-driven activitiesEffective and professional verbal and written communication skillsDemonstrates strong time management skillsDemonstrates punctuality and a sense of urgencyDisplays personal initiative and professionalismWORK ENVIRONMENT AND PHYSICAL DEMANDS

Regular and consistent attendance is expected and a necessary component of the jobEmployee will be required to work a minimum of forty (40) hours per week with the potential for overtime, early mornings, evenings, or weekends as business demandsEmployees are to wear all personal protective equipment (PPE) required while on any Williams Company construction site, including, but not limited to, a hard hat, high visibility vest, work boots, eye protection, and hearing protection.Frequently moving in different positions to accomplish tasks in various environments, including tight and confined spaces.Frequently remaining stationary, often standing or sitting for prolonged periods.Frequently communicating with others to exchange accurate information.Frequently using manual dexterity, including wrists, hands, and fingers, to work with equipment and typing.Frequently assesses accuracy, neatness, and thoroughness of work assigned.Frequently utilizing visual acuity to operate equipment, read technical information, and/or use a keyboard.Occasionally moving about to accomplish tasks or moving from one work site to another.Occasionally adjusting, lifting, or moving objects up to 50 pounds in all directions.Occasionally performing climbing, balance, bending, stooping, kneeling, and crawling.
