Senior Administrative Specialist (Anchorage-based) - AEQ

JOB SUMMARY

The AEQ Senior Administrative Specialist is an Anchorage-based position that will perform a variety of technical administrative support and accounting functions including invoice preparation, accounts payable, purchasing, prepare weekly time, travel arrangements for North Slope-based staff and crew, software support, and equipment dispatch/coordination. This position interfaces with the managers, supervisors, foremen, craft, staff, and acts as a liaison between the North Slope, Anchorage office, and other departments within AES. Candidate must be detail oriented, able to multi-task, able to work in a fast-paced environment with changing priorities, able to work independently with minimal direction, and must have reliable transportation to and from the Anchorage office to complete the duties of the role. If the candidate is outside the Anchorage area, they must be willing to relocate before starting at their own expense.

ESSENTIAL DUTIES

• Prepare materials for meetings and training sessions.

• Provide billeting schedule to camp POC for coordination.

• Issue and receive Purchase Orders (POs) in Oracle

• Code vendor invoices in Oracle.

• Monitor unbilled and aging items in Oracle.

• Register and renew registrations for equipment.

• Monitor the Accounts Payable exception report.

• Update and maintain department filing system, records, and files.

• Respond to staff requests for administrative support as required.

• Provide recommendations regarding office administration procedures and development of new systems to ensure effective operations.

• Comply with Company and client policies and procedures.

• Book all flights for AEQ employees, maintain rotations and schedules.

• Enter and track training rosters for VTA.

• Ability to train/learn in new and existing platforms quickly.

• Initiate and follow through to completion on a variety of projects.

• Understand safety culture and the role it plays in the flow of work.

• Able to accurately take notes at meetings via teleconferencing (if requested).

• Attention to details ensuring accuracy of reports.

• Provide support to the AEQ Maintenance staff in Deadhorse with maintenance-related administrative issues including CMMS administration.

• General business protocols for phone, fax, scanning, and photocopying.

• Willingness to perform other duties as assigned as needed.

• Process weekly time for craft.

• Set up projects in fleet and oracle.

• Support the AES zero-incident safety culture and assume personal accountability and responsibility for safe work practices in all projects, activities, and operations.

• Other duties assigned.

REQUIRED EXPERIENCE

• A High School Diploma is required.

• A Valid Driver's License is required.

• A minimum of five (5) years' experience as an Administrative Specialist or Office Support.

• Proficient experience with programs Oracle, Word, Excel, Outlook, Access, OneNote, PowerPoint, Teams, Publisher, OneDrive, and Teams.

• Must be able to multi-task and assess priorities.

• Must be detail oriented and have excellent organizational skills.

• Must have excellent verbal and written communications skills.

• Basic accounting knowledge and skills are required.

PREFERRED QUALIFICATIONS

• Three (3) - five (5) years' experience working in a construction or industrial setting, in the Oil and Gas industry, Petrochemical industry, on the North Slope, or in an Arctic environment is preferred.

• Previous billing experience is preferred.

• Previous working knowledge of Fleet Focus or another CMMS program is preferred.

• Previous inventory management and procurement experience is preferred.

WORKING ON THE NORTH SLOPE

While working on the North Slope of Alaska, your lodging and food will be provided to you. All camps provide warm meals and options to grab a quick lunch or snack from the spike rooms. Rooms vary from single status to shared rooms where your roommate may work the opposite shift. Wi-Fi and Internet are free and available within the camp. Services vary depending upon where you are staying; however, most facilities offer housekeeping, self-serve laundry, commissary, mail, gyms, TV/Theater Room, etc. Each facility will have their own accommodations and policies that will be reviewed upon on-site orientation.
