Overview:Prime Capital Financial seeks a motivated and detail-oriented Marketing Event Coordinator to join our team. The Event Planning Coordinator will oversee all aspects of event planning for the company, ensuring each event runs smoothly and meets the organization's objectives. This role involves coordinating various events, including Dinner Seminar Workshops, Educational Workshops, Client Appreciation Events, Client Referral Events, and any other events as needed. The successful candidate will work closely with various departments to ensure seamless execution, manage all logistical details, and maintain high standards of organization and client satisfaction. As such, the Marketing and Event Coordinator must display:Ability to work and make decisions independently, with minimal supervision.Excellent written and verbal communication skills.Excellent client service skills.Comfortable with presenting to senior leaders.Superior attention to tasks, detail, and follow-through.Excellent organizational and time-management skills; ability to react appropriately to situationsrequiring quick response or turnaround.Ability to prioritize and manage multiple tasks, projects, and assignments.Ability to adapt quickly and positively to change.Team player and collaborator; invest in building long-lasting relationships externally andinternally.Must possess a will-do/can-do attitude.High standards of professionalism, ethics, confidentiality, and integrity; confidentiality will beparamount for this role.Key Responsibilities:Planning: Develop short- and long-term plans for events, including budgets, marketingcomponents, audio-video coordinating, speaker and guest logistics, and participant servicesLogistics: coordinating venue, catering, decor, and entertainmentAdministrative: handling day-to-day administration of events and programs, such ascoordinating meetings, confirmation calls, follow-up callsScout and research new venues, restaurants, and event centers for events in all marketsTracking: Responsible for managing all registrations for events, monitoring the volume of event registrations, placing confirmation calls to guests, placing guests on waitlists, and informing any guests they are unable to attend any events.Following up: Set potential leads for appointments at events or with follow-up calls followingthe events.Budgeting: track all costs for events and ensure they are within budgetReporting: report all data to the Director of Marketing in marketing meetingsData Management: record all data in CRM and appropriate trackersTeamwork: collaborates with Digital Marketer and Director of Marketing & Advertising and provides support as neededDevelop new presentations for the offices to present (i.e., educational course, Special NeedsEstate Planning)Training: provide training to any new staff working seminars or A/V techsTravel Requirements:Minor travel to other offices in all markets as needed (10% - 15% of job) (Offices include:Hammond, La / Mandeville, LA / Baton Rouge, LA / Slidell, LA / Metairie, LA / Spanish Fort, ALDestin, FL / Pensacola, FL / Panama City Beach, FL / Tallahassee, FL / West Palm Beach, FL /Jacksonville, FL)Must be willing to rotate with other marketers and staff members to work local seminars weekly (events are in the evening and last approximately from 5 pm-9 pm, not including travel time)Education/Experience:Highschool Diploma/ GED requiredA bachelor's degree in marketing, business, communications, or a related field is preferred.Experience in event planning and coordination, preferably in the financial services industry.Proficiency with Microsoft Office Suite, Google Suite, Salesforce, and CRM systems.Excellent organizational and time-management skills with the ability to multitask effectively.Strong written and oral communication skills.Ability to work independently and as part of a team.High standards of professionalism, ethics, confidentiality, and integrity.Willingness to adapt to changes in the financial services industry and take proactive initiatives.
