Job Description:

The Executive Assistant provides key administrative and communications support to the Vice President of Corporate Communications, Ad Sales. This role is responsible for day-to-day coordinating of internal and external events for the VP and teams, scheduling conference room meetings, booking varying travel arrangements, and overall cross-department collaboration within Disney Ad Sales to help facilitate fulfillment on departmental needs related to but not limited to marketing, ticketing, sales communications, and purchasing. Additional support can involve ticket allocations, designing/editing sales materials, processing expenses, and IT troubleshooting.

Responsibilities:

Provide overall administrative support for the VP, Corporate Communications, Ad Sales including but not limited to:

Heavy administrative support including maintaining a busy professional calendar and screening/directing phone calls as needed.Read relevant newspapers and trade journals so you are completely immersed in the mission of the office.Prepare regular reports & summaries and collaborate on ad hoc projects.Create multi-city travel itineraries, considering time zones, weather delays, traffic, and fatigue levels.Coordinate and confirm all calendar matters, including internal and external meetings, establishing conference calls, and coordinating meetings over multiple time zones.Interface with a wide variety of Disney and external contacts on behalf of the executive.Review executive's schedule to build in time for things like brainstorming/executing and traveling to their next meeting.Be ready to throw the entire schedule out the door when an emergency comes up, then pick it up again when the dust settles.Handle extremely confidential, sensitive information, remembering that Disney is a publicly traded company.Draft letters and emails on behalf of your leaders.Manage large purchase orders and vendor contract processing.Process expense reports, renew memberships & subscriptions, and work on ticket requests for shows.Act as "casual buyer" for the department.Mentor and train other support professionals in hard skills like computer programs, and soft skills like teamwork.Assist with planning large, high-profile events like premieres, product launches, off-sites as well as smaller-scale gatherings such as service recognition parties and team-building activities as needed.Partner with all executive support professionals within the segment to ensure smooth, effective & accurate communication to the broader team.Additional office support and supply management, as needed.Basic Qualifications:

1+ years of experience supporting senior executives within large, corporate environments.Sharp written and verbal communication skills, including flawless grammar and a rich vocabulary.Desire to immerse yourself fully and learn all aspects of your executive's business.Ability to multi-task and prioritize deadlines/deliverables.Strong proficiency with all types of computers, phones, and office equipment, as well as mastery of Microsoft Office programs, SAP, Confluence, Concur, and working in a Windows environment.A calm head and steady hand to deal with the unexpected."EQ" skills to build bridges, forge alliances, and encourage people to want to work with you.Complete reliability handling confidential information.Desire to truly be helpful to your leaders and co-workers, to go the extra mile without being asked.Some flexibility in your schedule - we value work/life balance, but in a pinch, a bit more time may be needed.Very strong organizational skills and extreme attention to detail.A professional demeanor, positive outlook, and a can-do attitude.Preferred Qualifications:

2+ years of experience supporting executives in a corporate environment.Experience working in a highly matrixed environment.Required Education:

Bachelor's Degree or equivalent work experience.

This team is responsible for charting holistic, multi-platform communications tactics supported by operational research and insights and marketplace strategy capabilities. The group works hand-in-hand with sales, content, and digital leaders - along with the respective communications and business teams across the entire Disney portfolio - to drive growth and lead generation across all screens.

The hiring range for this position in New York is $53,600 to $73,700 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
