Job Function:

Assist the Department of Marketing, Web and Social Media with the delivery of services. Provide general office support with a variety of project tracking activities and related tasks. The department runs multiple marketing campaigns throughout the year and the Office Clerk II will play a key role in budget tracking, purchasing orders, invoice payment, and project management with minimum supervision.

Primary Functions:

Support budget management for all marketing campaigns including the daily use of BANNER for requisition orders, purchase orders, and ongoing budget monitoring. Also handle check requests, and invoice payment working with vendors and Accounts Payable. Track all spending in the marketing budget document and maintain electronic and paper records as needed.

Support the considerable direct marketing work for student recruitment. Work with Admissions, Records and Registration, Student Accounts, Computing Technology and other areas to request lists for mailings in a timely fashion. Work closely with the Graphic Design Specialist to ensure that lists are correct and provided to the vendor according to the project timeline. Work with MCC mail services to ensure postage funds are available. Maintain records of all direct mail projects.

Work with vendors as needed to secure project estimates and to provide estimates to purchasing.

Working with the Web Services Associate Director, assist with maintenance of monroecc.edu by making minor updates to web pages, working with web liaisons as needed, and by submitting technical requests as needed for minor web updates.

Create closed captioning for MCC videos for YouTube and other digital formats as needed.

Work with MCC Print Shop for internal printing work. Maintain record of internal charges.

Support marketing for photo and video shoots, coordinating with recruiting student and faculty models, securing locations, props, and assisting on the day of the shoot.

Perform general office duties such as scheduling meetings, taking meeting notes, ordering supplies, distributing mail, and greeting visitors.

Secondary Functions:

Perform additional duties as assigned by the Director and Associate Director of Web Services

Job Requirements:

Required Qualifications:

Must currently hold the title of Office Clerk II OR be reachable on the Civil Service Eligibility list titled Office Clerk II OR meet the below minimum requirements for a provisional appointment, if offered;

MINIMUM QUALIFICATIONS: Graduation from high school or possession of an equivalency diploma, plus EITHER:

(A) Graduation with an Associate's degree or successful completion of at least sixty (60) credit hours from a college or university; OR,

(B) Two (2) years paid full-time or its part-time equivalent office clerical or secretarial experience*; OR,

(C) An equivalent combination of education and experience as defined by the limits of (A) and (B) above. *Experience as a Teller, Cashier or Sales Clerk will not be considered appropriate experience for the purposes of these minimum qualifications.

Must be Monroe County Resident

Preferred Qualifications:

Three years of office clerical or secretarial experience

Experience using BANNER or another accounting system

Experience with processing invoices

Proficiency with Microsoft Office, especially Excel

Bilingual and able to read, write, and speak Spanish, or other languages, proficiently

Additional Information:

Job Type: Full - Time

Hours: 8:45am to 4:45pm Monday - Friday

Salary: $38,638.57 per. Eligible for increment after 6 months of service.
