The Opportunity

We seek a highly organized, detail-oriented Marketing Operations Assistant to support the Marketing Leadership Team in running our sophisticated, high-volume department. The successful candidate will have a demonstrated ability to support the administrative and operational needs of a large team that both has day-to-day business demands and drives Firm strategic priorities. The Marketing Operations Assistant will work across the full Business Development, Communications and Marketing Team to ensure collaboration and coordination on Firm projects and support the team's operational efficiency. This will include tracking various initiatives and attending meetings to take notes and distribute next steps. This role will also collaborate with Firm professionals and their administrative staff as well as members of other departments on administrative requirements, including budget requests and management. This position reports to the Senior Director of Marketing and supports the Marketing Leadership Team.

Responsibilities

Departmental Operations

Support the administration and operations of the Business Development, Communications and Marketing DepartmentCollaborate with other departments to coordinate internal and external calendarsWork closely with professionals and support staff across the organization to coordinate client development expense requests, maintaining a consistent and operationalized approachSchedule and attend full department meetings and support coordination between business professional teamsSupport scheduling of meetings for the Marketing Leadership Team and other senior members of the department, including the Events TeamAssist with the tracking of and communication among the team about upcoming client programs, events and sponsorshipsAssist with maintaining data in the Firm's CRM (Salesforce)Project and Initiative Tracking

Support and track advancement of department and Firm initiativesSchedule meetings with the stakeholders, support agenda development, prepare materials, and take notes and circulate next stepsMaintain a list of current projects and their status for ongoing evaluation by the Marketing Leadership TeamBudget Management and Analysis

Ensure response to and approval of travel and other budget requests submitted to the Marketing Leadership TeamProcess and submit invoices and budget codes for client development and other expensesWork closely with Accounting to ensure the proper coding of client development expenses and other budgets managed by the Marketing Leadership TeamDemonstrate excellent Excel skills and the ability to support development of budgets for various projects and initiativesPrepare and submit to Accounting check requests as well as credit card backupPrepare ongoing reports and analytics for the budgets managed by the departmentQualifications

Bachelor's degree or better from an accredited college/university-business degree preferred1-3+ years of experience in a professional environment-legal, consulting or accounting preferredStrong interpersonal skills as a relationship builder who can work across teams to drive business results; ability to "manage up"Computer and tech savvy with knowledge of marketing tools a plusStrong comfort level with Microsoft Office applications, especially Excel, PowerPoint and Microsoft WordProject management skills and ability to juggle and adjust to multiple competing prioritiesPositive, can-do, team-oriented attitudeHigh level of organization with exceptional attention to detail, excellent problem-solving skills, a results-focused approach and outstanding project management skills, as the position requires constant attention to precise details and accuracy of specified standardsAvailability to work in-office three days per week (Tuesday, Wednesday and Thursday) and more as needed; willingness to work overtime and weekends as neededAbility to complete all duties with a superior quality and service focus through teamwork, dedication, and a results-oriented, solid work ethic

The base annual pay range for this role is between $55,000-$60,000. The base pay to be offered will vary and depend on skills and qualifications, experience, location and will also take into account internal equity. A full range of medical, financial and/or other benefits dependent on the position will also be offered.
