Job Summary
The Getty Research Institute (GRI) seeks a full-time Library Assistant III to join the Interlibrary Loan team. Reporting to the Manager of Interlibrary Loan, the Library Assistant III's primary duties include handling all aspects of interlibrary loan borrowing and lending requests, including conducting complex bibliographic searches, tracking statuses of incoming and outgoing requests using ILLiad, WorldShare ILL, Primo, and Alma, providing scans from the Getty Library's general and special collections, preparing shipping forms, packing/unpacking materials, answering inquiries regarding the Library and its holdings, and providing instruction on use of software and equipment, including scanners, photocopiers, computers, printers, and microfilm readers. The Library Assistant III will also be cross-trained to assist other sections within the Research Services department (Reference and the Special Collections Reading Room) with desk coverage and researcher inquiries.
Major Job Responsibilities
Process interlibrary loan lending and borrowing requests
Conduct complex bibliographic searches to locate requested materialsTrack status of incoming and outgoing requests using ILLiad, WorldShare ILL, Primo, and AlmaPrepare books for shipment and receive incoming booksProvide scans from the Getty Library's general and special collectionsStaff Interlibrary Loan desk on a daily basis and assist with Reference and Special Collections Reading Room desks as neededAnswer general policy and collection-related questionsProvide instruction on use of library software and equipmentAssess and track collection materials for digitization-on-demandAssess and track interlibrary loan requests for possible fulfillment through purchase-on-demand
Qualifications
Bachelor's degree in art history or related discipline preferredThree years of interlibrary loan or equivalent experience combining research skills and customer service within a library setting strongly preferred.Some supervisory and training experience preferredExperience with ILLiad and/or WorldShare interlibrary loan management systems and the Ex Libris suite of products (Primo, Alma, Rosetta) strongly preferred.
Knowledge, Skills and Abilities
Strong communication skills, attention to detail, organizational skills, and the ability to work effectively with a wide range of Getty colleagues, staff at other libraries, and researchers required.Exceptional attention to detailReading knowledge in at least one foreign language preferredAbility to learn library-specific software applicationsAbility to lift boxes and push book trucks up to 40 poundsExperience with industry-standard software suites as appropriate to assigned dutiesExperience with bibliographic databases and library-specific software applications (may include digital asset management systems) and productivity software preferredAbility to handle rare and unique materials with careBasic knowledge of bibliographic metadata structure and fundamentalsFamiliarity with and knowledge of intellectual property and copyright issues
