The basics of this position:

This position has the responsibility to provide diversified support for the Human Resources and Marketing and Communication Departments at St. Louis Community College. The Executive Assistant oversees the day-to-day operations (office management) of the HR and Marketing and Communications departments by providing administrative support and collaboration. This position serves as the department liaison to internal and external customers and requires discretion, confidentiality, and independent judgement. This position provides direct support for the Chief Human Resource Officer and Executive Director, Marketing and Communication.

What you'll do:

Act as a gatekeeper and primary point of contact for internal and external communications, demonstrating exceptional professionalism and discretion.

Screen, analyze, and respond to incoming correspondence, handling day-to-day problems and situations. Serve as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of issues.

Maintains calendars, makes travel arrangements, and prepares expense reports.

Administers and monitors expenditures, manages departmental budgets and administers the procurement card process. Partners closely with Finance Business Manager to ensure timely payment of departmental invoices.

Oversees supply management including managing supply inventory, ordering, managing vendor relationships and ensuring alignment with college procurement policies.

Prepares and coordinates materials for meetings, presentations, and executive communications ensuring accuracy and alignment.

Organizes and facilitates meetings, conferences, and other events, coordinates vendors, space reservations and participants.

Supports department and College events with event planning and logistics, including on-site event participation. Develops, manages, and updates the materials contained within the Human Resources and Marketing and Communication pages on the College Intranet and College Internet.

Receives and maintains confidential information on behalf of executives supported. Reviews messages, correspondence, and supplemental material.

Independently researches, prioritizes and follows-up on incoming issues and concerns, including those of a sensitive and confidential nature; determines appropriate course of action, referral, and/or response.

Provides assistance and organizational support by developing meeting agendas, attending leadership meetings, tracking action items, and ensuring that deadlines are met.

Education, experience, and other requirements:

* Associate's Degree and five (5) years of progressively responsible administrative/executive assistant experience or High School Diploma and nine (9) years of progressively responsible administrative/executive assistant experience.
