Director of Events & Communications, USC Capital Campus

plans and produces special events at the USC Capital Campus for internal and external organizations. Develops strategic communications plans to develop media interest, anticipation, and attendance to Capital Campus events and activities and makes recommendations to management. Manages major public relations programs and/or communications projects for the Capital Campus. Has responsibility for identifying and recommending target groups; managing design and coordination of promotional materials and invitations; collecting, maintaining, and disseminating event briefings to appropriate persons associated with the event. In collaboration with the Director of Building Operations and with management approval, manages contracted vendors; develops and monitors event and program budgets; and works with University Events, Central Communications, and Alumni Relations to determine additional staffing needs for event and media support. Supervises event or other assigned staff as necessary. Ensures USC's standards of excellence are met and maintained.Reports to Associate Vice President, Cultural Relations & University Events with a dotted line to Executive Director, USC Capital Campus.Job Accountabilities:Plans and manages the day-to-day operations of events for the USC Capital Campus (e.g., arranging logistics, project management, event goal setting). Develops and manages event budgets, updating line-item expenditures and recommending cost-saving options. Maintains accurate records of past events.

Plans, implements, and manages public relations programs and/or projects to enhance public awareness of the USC Capital Campus. Develops strategic communications plans in support of the Capital Campus.

Develops and maintains contacts with university officials, media representatives, community leaders, and professional colleagues. Maintains currency with professional organizations and publications.

Develops and delivers targeted event communications, working with deans, senior administration, and development officers to establish appropriate messaging. Ensures design and coordination of promotional materials and invitations for mailing is handled in a timely manner. Identifies target groups for events. Directs logistical planning.

Manages and oversees staff, student workers, vendors, and volunteers involved with event coordination. Provides support and guidance to planning staff to ensure events are effectively and successfully executed. Oversees worker performance at events and provides feedback for improvement. Plans and schedules assignments and tasks to ensure event deadlines are met. Handles conflict and escalated issues as they arise. Approves timesheets and adjusts work schedules as required.

Ensures events and activities are scheduled, reserved, booked, and executed effectively. Creates and coordinates all logistical planning for the day of the event (e.g., walk-through sessions, timelines, post-event debriefings). Provides guidance on regular event communications (e.g., invitations, RSVPs, signs). Reviews and maintains event calendars and room reservations to avoid conflicts. Ensures effective traffic/crowd control and attendee safety. Ensures appropriate security is on-site to maintain adherence to event safety protocols. Responsible for meeting Americans with Disabilities Act (ADA) requirements. Responds appropriately to accidents/injuries (e.g., slip and falls).

Serves as a liaison providing event consultations and planning services to internal stakeholders. Serves as the primary point of contact for external stakeholders and vendors. Directly contracts vendors and negotiates terms of goods and services for each event. Ensures all goods are accounted for and delivered on time for the event.

Develops and manages public relations budget(s). Provides projections and reports for budget development and administration purposes.

Develops and manages public relations calendar. Determines schedules and deadlines. Ensures successful, timely completion of programs and projects.

Develops and produces reports of public relations activities for university and/or department use.

Attends events to oversee activities and ensure quality control and that details are handled as planned. Educates and trains event coordinators on-site, as appropriate. Works with or gives guidance to student workers, volunteers, and/or donors involved in event planning. Schedules and assigns work. Ensures technical and conceptual aspects of special events are addressed.

Monitors delivery of goods and services to ensure contract terms are satisfied. Maintains a current list of approved vendors (rental companies, caterers, florists, etc.) and manages all vendors to ensure appropriate design, timeliness, pricing, and details are carried through for all events.

Performs other related duties as assigned or requested. The university reserves the right to add or change duties at any time.The annual base salary range for this position is $105,562.68 - $140,000.04. Detail-oriented, with exquisite communication skills and exceptional interpersonal skills. Able to develop department goals necessary to accomplish organizational goals and monitor their implementation, making necessary changes and informing senior management, as needed. Familiar with strategic planning, able to assist in translating organizational vision to division goals, and capable of assessing complex situations and making decisions and/or recommendations across departments and functions. Able to solicit bids, draft contracts, and monitor contractors, and has experience in budget development and monitoring budget implementation.
