Title: Marketing Assistant

Status: Full-time

Hours: 40/week, Monday - Friday, 9am-6pm

Location: Brooklyn, NY; Bloomington, IN

Position Summary: Secretly Group seeks an entry level Marketing Assistant to administrate and support both the Marketing Director and broader marketing team. The ideal candidate is highly organized and eager to learn by assisting with all facets of marketing, from general/big-picture marketing to retail, advertising and social media. The candidate should have proven time management skills, sharp attention to detail, and enthusiasm for a busy, dynamic work environment. The needs of each facet of the department can change dramatically from day to day, so this candidate should have a keen eye for making progress across short-, mid-, and long-term tasks and projects.

Responsibilities:

Support the Marketing Department to ensure all resources are organized and up-to-date, with a focus on:Basecamp (files, folders, documents, project resources)Contact lists and databases for stakeholders, partners, and media contacts.Budgets (expenses tracked, invoices paid, etc.)Prepare documents, reports, and presentations as needed.Create visually appealing and informative one sheets and presentation decks; collaborate with marketing team members to gather necessary content and information.Provide ad hoc support for marketing department headsAssist with administrative tasks such as scheduling and setting up meetings, taking notes, and managing calendars; handle changes to meeting schedules and communicate updates as necessary.Collate and distribute notes and action items from meetings.Maintain accurate records of marketing, advertising and event/activation expenses and payments in Airtable.Generate reports and summaries of advertising expenditures as required.Ensure meeting rooms or virtual spaces are booked and prepared.Manage guest lists, itineraries, and travel arrangements for events and activationsOnce approved, organize and upload event content capture such as photos and videos.Assist in coordinating retail marketing campaigns and initiatives.Process invoices, expense reports, and payment requests for marketing and event-related expenses.Coordinate product orders and shipments for events and direct-to-consumer (D2C) initiatives.Maintain inventory records and reconcile discrepancies as needed.Review all final materials letter-perfect and aligned with the label's brand and messaging.Conduct miscellaneous research projects for the marketing department:Perform market research, competitor analysis, and trend monitoring as assigned, and compile findings into reportsStay informed about industry developments and consumer trends to inform marketing initiatives.The Ideal Candidate Demonstrates:
