The Proposal Specialist or Senior Proposal Specialist will work closely with the Marketing Manager and Technical teams to produce and support proposals and marketing efforts. This position requires the ability to prioritize, function effectively as part of a team under multiple deadlines and time constraints, schedule workload, and manage time efficiently in a fast-paced environment. MNS is looking for an energetic, motivated candidate (A/E/C industry experience preferred) who is a quick learner with strong people and communication skills, including excellent writing and editing capabilities.

Essential Duties and Responsibilities:

PROPOSAL AND TECHNICAL WRITING

Organize the preparation of Proposals and Statements of Qualifications.Prepare proposal materials including editing, verifying, and formatting information written by technical staff.Provide proposal printing and production support including assembly and delivery of final documents.Perform necessary proposal close-out activities including proper filing and documentation of materials, updating company marketing collateral and proposal boilerplate, and updating company CRM System.Produce market-specific and branded content that meets company standards and client RFP/Q requirements.Tailor style and detail of writing to match the opportunity when editing content created by other team members.Proactively help maintain our CRM (VantagePoint) database and other marketing information systems.Interview technical staff to write/update project descriptions, resumes, and additional marketing collateral required for proposals.Research project information and staff responsibilities to create and/or update master resumes (including SF 330s).Collect, maintain, and control content for proposal language database including resumes and client contacts.Proposal Specialist: participate in the preparation of interview rehearsals and materials.Senior Proposal Specialist: strategize, organize, manage, and conduct project interview planning sessions and rehearsals. The interview preparation process includes the creation of slide decks and exhibits and coordination with the Marketing Director.Senior Proposal Specialist: Senior staff are expected to effectively and proactively manage their own workload and provide mentorship to junior staff.PROPOSAL RESPONSIBILITIES

Coordinate proposal responses to meet specific technical requirements addressed in RFP/RFQ solicitations.Develop and tailor proposal responses to address items such as important concepts and terms, client needs, critical issues, and company strengths through a well-crafted document.Write non-technical "boilerplate" material (cover letters, executive summaries, staff bios, etc.).Edit and proofread proposals, technical documents, and marketing collateral for grammar and clarity to ensure continuity and quality of marketing materials.CRM AND BD SUPPORT

CRM database and other data-driven business development and marketing systems updates and maintenance in collaborative efforts with Senior Marketing and Business Development staff and regional Principals.Design, produce, monitor, and control the use of marketing collateral for specific pursuits and Principal/staff client visits.Utilize CRM to create, maintain, and export templates for proposal output (employee record, boilerplate library, resumes, SF 330, and project sheets).Develop project awards submissions and technical Microsoft PowerPoint presentations.GENERAL

Coordinate and assemble materials for distribution (including brochures, proposals, etc.) to potential clients and project team members.Create and update team member resumes, project sheets, and staff headshots.Create and update a library of boilerplate content.Manage database of existing and potential client contacts.Other duties as assigned.Requirements

Minimum Education, Licensure, or Certification Required

BA or BS degree in marketing, graphic arts, or related field required or commensurate years of experience.Proposal Specialist Minimum Experience Required

Three (3) years of demonstrated experience performing similar services in the Architecture/Engineering (A/E) industry.Advanced user of InDesign, MS Word, Excel, PowerPoint, Adobe Acrobat.Preferred skills: Adobe Illustrator.Senior Proposal Specialist Minimum Experience Required

Seven (7) years of relevant experience working in a business development/marketing role in the Architecture/Engineering (A/E) industry.Expert user of Microsoft Office Suite, Adobe Creative Suite.Seven (7) years of experience working with VantagePoint or similar CRM software.Other Required SkillsExemplary verbal and written communication skills.Exemplary organizational skills and attention to detail.Knowledge of standard office practices and equipment.Ability to initiate, execute, balance, and follow up on multiple priorities.Must enjoy deadline-driven work.Must work well in a collaborative environment with other team members, and guide junior staff members and interns.
