Job Summary:

The Proposal Assistant supports the firm's proposal team by collaborating in providing consistent and meaningful responses to project solicitations. They will assist in proposal efforts to specifically track, prepare, edit and visually assemble submissions. The Proposal Assistant will focus on the pursuit of public sector projects while working in conjunction with the marketing team to help shape public opinion of the company and increase awareness of our brand. The Proposal Assistant will collaborate with government relations and marketing & media to bring credibility, consistency and greater visibility to the firm's communication efforts. This role adheres to and promotes the firm's mission and values by performing respective duties in a manner that supports and contributes to the achievement of the firm's goals and success.

Typical Duties and Responsibilities 80% |Assist in identifying, summarizing and presenting SOQ, RFQ and RFP opportunities for internal team members.Assist the Proposal Manager throughout the proposal process, following standard procedures, planning, review and production of statements of qualifications from start to finish.Evaluate RFQs, addressing key elements and assist in presenting a plan for execution.Attend kickoff meetings, pre-proposal discussions, assist in preparing interview presentations and coaching interview participants.Coordinate with internal and external proposal team members.Gather and research information to include in proposals, including resumes, project summaries, firm profiles and other requirements as requested.Collaborate with engineers and assist in managing tasks needed to prepare SOQs/proposals.Assist in reviewing, organizing and editing written documentation to improve clarity and appeal.Maintain familiarity and understanding with industry terms, contracts, deliverables and processes to ensure clarity in responses.Assist in verifying proposal content addresses the specific requirements of the solicitation.Help identify creative graphic solutions to include within project responses.Coordinate, edit, update and maintain marketing materials including resumes, project descriptions, cutsheets and forms as needed.Assist in providing final quality control check, including proofreading for grammar, RFP compliance and conformance to established strategies and plans.Assist in final production and delivery of digital and printed materials as needed.Assist in maintaining and updating spreadsheet for SOQ submittal win/loss rate tracking.Attend debrief meeting with internal team after SOQ win/loss is confirmed.Assist in breaking down submitted SOQs and ensuring writeups and content are saved and maintained.Assist in maintaining firm registrations to receive RFQs from Houston MSA counties and cities.Assist in maintaining firm's annual agency registrations.?Marketing & Internal Team Collaboration 20% |

As a member of the marketing team the Proposal Assistant works in collaboration with Proposal Coordination Services, Government Relations, Branding, Media and Graphics Services and all public sector internal team members as it pertains to the following:

Working in collaboration with Government Relations to develop effective responses to RFQs and preparation of interview presentations and materials as needed.Writing and or assisting in writing and editing articles for the firm's monthly newsletter.Collaborating in the development and design of marketing collateral as needed.Assisting in providing content for the firm's website, press releases, social media, fine tuning presentations, reports, articles and brochures for both external and internal distribution.Assisting in organizing and maintaining CRM database content.Organizing and/or attending client events as needed.Organizing and/or attending teaming meetings as needed.Assisting with additional marketing administration as needed.Knowledge, skills and abilities:

Bachelor's Degree, Marketing, Communications or Journalism major preferred0-3 years minimum of proposal experience - A/E/C industry preferredPhysical Requirements:
