Position Overview: Harper Construction is seeking a design department coordinator for our office located in Little Italy in downtown San Diego. The person would manage the department's administrative and operational functions, supporting project execution and ensuring efficient workflows. Responsibilities include coordinating project timelines for Design Managers, handling documentation, managing compliance requirements, supporting team members, and overseeing in-house architectural design services. Preferred experience in the architectural or construction industry, focusing on federal projects and compliance with NAVFAC and USACE standards.Key Responsibilities:+ Incorporate amendments into government-furnished RFPs, utilize company templates to prepare design contracts and design quality control plans.+ Organize and support meetings, including project kickoffs, follow-up meetings, and manage coordination with government teams using systems like DRChecks, Procore, and Bluebeam.+ Support all project design phases from conceptual design to construction documents+ Prepare and edit correspondence, reports, presentations, design submittal packages, and manage filing systems.+ Maintain digital project folders, documentation structures, and permissions in relevant software platforms.+ During the project construction phase, oversee the preparation of as-built/record drawings and manage the file closeout process.+ Ensure all final documents are reviewed, endorsed, issued properly, and thoroughly coordinated with the Owner and field teams.+ Manage the use of project management tools, ensuring efficient collaboration and communication, writing and distributing meeting minutes, and following up with action items+ Coordinate with project managers, design teams, and stakeholders for efficient workflow and communication.Qualifications:+ 5 years of office management experience, preferably in an architectural or construction firm.+ Prefer a Bachelor's degree in Business Administration, Construction, Design, Project Management, or a related field.+ Strong understanding of architectural and construction processes.+ Excellent communication skills, including proofreading and editing.+ Proficiency in Microsoft Office Suite, Bluebeam, and project management software.+ Experience with federal contracting (NAVFAC, USACE) is highly desirable.This comprehensive role encompasses a wide range of administrative and operational responsibilities, ensuring smooth project execution and compliance within the Harper Design Department.Compensation and Benefits+ $30-$33 per hour+ The offered rate will be based on the candidate's knowledge, skills, abilities and/or experience.+ This position is eligible for our benefits package including 100% company paid employee medical and dental insurance.
