Scale’s Marketing and Portfolio Operations team is looking to add an executive assistant. We have found that success in this role requires both flexibility and adaptability in a dynamic environment. The ideal candidate will have a keen eye for detail and a flair for creativity.KEY RESPONSIBILITIES

Management and Administrative:

Carry out administrative duties and handle the team’s calendars of appointments and events. Prioritize to efficiently manage the team’s time, while maintaining timelines and harmony across various teams.Maintain polite and professional communication via phone, e-mail, i.e., in all forms of communication. Handle sensitive information in a confidential manner.Work seamlessly with the EA team on group projects and contribute to team effort by accomplishing related tasks as needed.Events: Support the Director of Events to plan, coordinate and track events ranging from intimate dinners, virtual events, and conference social hours. Travel as needed for events and serve as the point of contact for outside event planners and agencies. Coordinate and build relationships with vendors and contractors within and outside of the organization.Digital: Maintain accurate website information including portfolio logos, investor bios, images etc. This includes adding new portfolio companies, proof-reading blogs and staff changes.Marketing Administration: Maintain marketing materials such as brand collateral, portfolio collateral, image files, swag etc. Update and maintain a marketing dashboard monthly utilizing Google Analytics, Google Search and other sources. Supervise project calendars to align with events, photo shoots, and tasks.Contact Management: Maintain portfolio senior management contact database via Salesforce and portfolio community events.TOP KEYS FOR CLIENT

Excellent written and verbal communication skills are required along with the ability to adapt to effectively support Employer’s needs, both at home and while traveling. Attention to detail and strong decision-making ability are equally important. This self-motivated individual must be able to manage multiple projects, communicate effectively, simultaneously prioritize critical tasks, and optimize time with Employer. Ideal candidate is a career assistant with long-term intent and is bright, forward-thinking/anticipatory, meticulous, highly organized, solution oriented, and humble.Demonstrated ability in an Executive Assistant position, ideally with Marketing experience. Accuracy and sharp attention to detail.Intuitive and dedicated with the ability to handle multiple projects at once with strong analytic and problem-solving skills that support and enable sound decision-making.Excellent listening, written and verbal communication skills. The “soft skills” of collaborating, facilitating, and communicating across teams. Relates well on phone and in person; demonstrates patience and kindness in all interactions with clients and colleagues.Takes initiative but coordinates with others and is not afraid to lean on more experienced peers. A great teammate who is flexible and adaptable to changing needs. Be able to build successful relationships at all levels, internally and externally.Proficient in Google Suite, Microsoft Suite (Word, Excel, PowerPoint), Salesforce, Notion, DocuSign, Zoom, Photoshop, Canva or similar graphics or layout software experience a plus. Also, a proven ability to pick up new programs quickly and independently.Ability to work in a multicultural environment with a diverse staff and clientele.Ability to work outside typical hours and/or travel on occasion.Personal qualities of integrity, credibility, sense of humor.
