JVA Art Group .Job DescriptionThis Production & Art Manufacturing Coordinator position will be able to develop, implement, and maintain processes and workflow systems concerning activities and decisions at all project points. They will also improve team communication and coordination regarding handing off a project to various vendors. They will aid in enhancing team efficiencies and effectiveness, eliminating interruptions in both workflow and production. We want this person to learn and grow to maximize our external resources and revenue margins in production to impact functional areas in art and design to ensure innovation in our field to stand out against competitors. Daily you will prepare, maintain, and coordinate all project-specific documents (Project purchase orders, vendor quotes, and invoices).Key Responsibilities:Assisting the Production Manager with tracking projects, suppliers/vendors, and payments to meet project deadlines and client expectations.Develop/create professional documents and proof for grammatical and mathematical mistakes.Assist with preparing preliminary cost estimates/budgets/schedules.Assist with creating weekly project-specific reports to record and track the health of all projects.Track and maintain project delivery schedules.Communicate to the Production Manager any delivery date changes and any potential material issues.Coordinate material deliveries and assist with logistics.Communicate with outside vendors.Maintain constant and effective communications with team members and vendors.Maintain project file database and internal project trackers.Process, on the backend, the lifecycle of a project.Maintain good vendor relationships and reach out to new vendors.Gather price estimates and create quotes based on best vendor choices (by quality or cost, depending on the client).Maintain a database of project information, input data, and track project status.Run weekly production report - create report and data summaries.Create invoices for deposit and balance, track finances and margin, create POs for clients, create and submit vendor POs.Coordinate the production and shipment of samples.Track production timeline - communicate internally and with vendors on project status.Coordinate logistics - shipping costs and logistics for each project aspect, maintaining the best cost and most efficient practices.Create Packing Lists.Organize legal documents and distribute them as needed to vendors/clients.Manage hardware shipments.Coordinate installation - find installer, track costs, coordinate day-of installation, put out fires.Create shipping reports, margin analysis, assist in the upkeep of vendor contact list.Strategize best vendors for cost, quality timeline; Monitor aging payments; monitor aging art files.Coordinate with artists on their projects, timelines, and budgetary numbers.Additional Qualifications Include:Methodical, accurate, and consistent attention to detail.Knowledge of the base principles of scheduling, project management.Moderate to high negotiation skills.Strong computer skills (Mac IOS system).Excellent organizational and interpersonal skills.Strong written and verbal communication abilities.Ability to read, understand, and interpret schedules and Gantt charts.An accounting background is a plus.Interest in art and design is a plus.Pay starts at $22.00 per hour, but is negotiable based on experience.Company DescriptionAt JVA Art Group, our full staff of artistic visionaries create original works of art for some of the world's leading designers and brands all with concierge level service.
