We are seeking a skilled Marketing Projects Coordinator with project management expertise to enhance our production processes and ensure seamless execution across all departments. Along with managing tasks within our project management platform, this role also supports a book of clients with regular meetings and opportunities to provide strategic input.Position Overview:

The Marketing Projects Coordinator will play a crucial role in overseeing the accuracy of our project management platform (Asana) and ensuring that all team members adhere to project timelines and quality standards. This individual will be responsible for coordinating tasks, facilitating communication, and holding everyone in the production chain accountable for their deliverables. The ideal candidate will have a strong background in project management, exceptional organizational skills, and the ability to thrive in a fast-paced, creative environment.The Accounts Manager will also be the primary contact for a number of Red Mallard clients. The client-facing role involves regular meetings with clients to provide updates, solicit feedback, and gather strategic insights to bring back to the rest of the team. This also includes some vendor coordination, such as arranging interviews between our writers and client employees.Local candidates are strongly preferred.

Red Mallard’s team works remotely from locations within Orange and San Diego counties. Our goal is to begin to transition to a hybrid model with the team working together from the office about 3 days a week. This position will have flexibility to work from our headquarters in Yorba Linda or remotely, but the expectation is that 2-3 days per week in the office will become the norm.Key Responsibilities:Project Planning and Coordination: Develop detailed project plans, timelines, and schedules in Asana. Ensure all tasks are clearly defined and assigned to the appropriate team members.Client Service: For select clients, lead regular “check-in” meetings, take feedback, address concerns/complaints, and provide advocacy within the organization to ensure client expectations are met.Quality Control: Monitor the progress of projects to ensure they meet quality standards and deadlines. Identify and address any potential issues or bottlenecks.Team Collaboration: Facilitate effective communication and collaboration among team members, including the editor in chief, art director, content coordinator, and account reps. Assist in communicating project status and updates to clients as needed.Accountability: Hold team members accountable for their work by regularly reviewing task completion and providing feedback as necessary. Ensure adherence to project timelines and quality standards.Process Improvement: Continuously evaluate and improve project management processes to enhance efficiency and productivity. Implement best practices and tools to optimize workflow.Client Communication: Reporting: Generate regular reports on project status, team performance, and any issues encountered. Provide insights and recommendations to the Director of Client Services.Qualifications:Bachelor’s degree in project management, business administration, or a related field.Minimum of 3-5 years of experience in project management, preferably in a content marketing or creative agency environment.Proficiency in using Asana or similar project management tools.
