JOB PURPOSEThis position is 3 fold: Customer Service (communicating and receiving orders), Order Entry (into tracking system and SAP) and Project Management (manage through order entry, and then support as needed through job completion).DUTIES AND RESPONSIBILITIES / ESSENTIAL FUNCTIONSCustomer Service:Provide excellent customer service to both internal departments and external customers - globally.Communicate project lead time, job status, job changes, cost/price changes, and any discrepancies.Enter card specs into current version of cost workbook to determine cost at requested quantities.Manage bid process/contracts.Order Entry:Review incoming orders for completeness and accuracy, products estimate and job plan and initiates job order entry.Work with Sales/Customer Care to ensure accurate order entry into ERP system.Complete Production Specification Sheets.Assemble Production Job Jacket (Shop Order/DHR) with material necessary for production.Project Management:Enter and track all pertinent information for data collection and project status.Create monthly KPI reports.Manage department Outlook inbox: timely responses, organization and data collection.Work closely with other Design Team members to communicate customer needs, and/or any issues to keep the department in alignment on active projects.Other Duties:Attend/Present at project related meetings as needed, take notes and distribute to Design Team.Maintain filing system and archives, both digital and paper.Cross train with Designers and other departments as needed.Participate in Quality and process improvement initiatives as appropriate.Potential for travel to attend sales conferences.This list of duties and responsibilities is not exhaustive and may be substituted as necessary with other tasks as defined by management.Minimum RequirementsEducation: Associates or Bachelors degree in Graphic Communications or similar program. Additional related experience may be considered in lieu of educational requirement. Graphic Design degree preferred.Experience:

Experience with customer service, order entry and project management.Skills:Excellent people skills, phone presence & professional attitude.Ability to work/communicate with people of various cultures.Excellent written and verbal communication skills.Excellent proofreading skills.Good attention to detail; accurate with numbers/information and documentation.Proficient in the use of Microsoft Office Suite (specifically Excel), Outlook & Teams.Timeline management, ability to multi-task, organize and prioritize work to meet deadlines.Ability to work independently or in a team environment.Strong math reasoning, reading, spelling and ruler skills.USEFUL EXPERIENCE (Plus):Software: Quark Xpress, Adobe Creative Suite, Bartender or other barcode software.Knowledge of Lithographic and Offset Printing (bonus: is experienced in pre-press and/or production artist work).Knowledge of SAP, Smartsheets, Project Management/Database software.Experience working in a highly regulated environment (ie. Pharmaceutical, Medical Device, etc).Familiarity with cGMP and GDP.Experience writing/updating SOPs and or Work Instructions.Knowledge of Graphic fundamentals, design theory, print production and graphics programs.WORK ENVIRONMENTTemperature controlled office and manufacturing environment with large printing and related equipment.PHYSICAL REQUIREMENTSSitting, standing, walking, stooping, bending, climbing stairs and ability to lift 40 pounds.WORK HOURS AND SHIFT (If applicable)DIRECT REPORTSNone
