Job Description Summary: The National Academy of Engineering (NAE) is looking for a communications/media assistant to support activities within the Outreach and Communications department including its awards program. This is an entry-level communications position with a focus on assisting staff with unit activities such as designing promotional materials, conducting events, and researching topics and images.

Reports directly to the Director, NAE Office of Outreach and Communications. Job Description:

ESSENTIAL JOB DUTIES:60% Outreach and Communications1. Assists in the unit's communication and outreach efforts for products, services, and/or events. Helps with the creation (writing and design) of marketing/outreach materials. Assists with identifying and selecting images for use online and in print.2. Provides project tracking assistance to ensure deadlines are met. Updates and monitors databases, tracking and/or trending data. Produces and distributes calendar of events. Researches, compiles, and maintains stakeholder email lists. Distributes media alerts and press releases to identified audiences.3. Assists with the preparation and execution of meetings/conferences. Assists in preparing meeting materials. Provides onsite support to major NAE events, which may include staffing exhibition booths/tables, providing general information and assistance to customers/attendees.4. Monitors news coverage and potential embargo breaks. Compiles and distributes news coverage and analysis reports.5. Assists editor with the project management of the evaluation process for draft manuscripts for

a timely and consistent manner.6. Performs office duties, including answering email and telephones, writing correspondence. Responds to inquiries, providing information and ensuring special requests are handled appropriately.40% Awards Program1. Provides overall administrative support to the Awards Program Officer to ensure consistency and clarity in all communications and processing of awards nominations, events and promotions.2. Handles logistics for awards events, including shipping materials, preparing facilities, travel and accommodation arrangements, assisting with on-site activities, greeting guests, printing badges, distributing tickets and programs, and handling special needs and requests. Tracks event attendance.3. Initiates and tracks communications between awards committee members to include polling and setting meeting dates, drafting meeting agendas, responding to inquiries.4. Monitors and updates awards nominations system, notifies nominators of missing information and deadlines, and tracks all nominations for completion and adherence to set standards.5. Processes financial paperwork, including processing of invoices and travel expenses, ensuring accurate completion and entry. Downloads and compiles data for reports and prepares reports for management review.6. Provides onsite support to all NAE awards events, which may include evenings and weekends.NONESSENTIAL JOB DUTIES*Related duties and special projects as assigned.JOB SPECIFICATIONSRequired Knowledge, Skills, and Abilities:Basic knowledge of communication principles and practices. Ability to solve problems through selection and application of commonly used rules, procedures, and precedents. Ability to work successfully in a team environment. Ability to develop effective working relationships with co- workers and employees in other National Academies' departments. Good communication skills with a proven ability to effectively interact with all levels of employees.Preferred Qualifications : Bachelor's degree in journalism, communications, marketing, or related degree.Minimum Education/Training Requirements:

High school diploma, GED, or equivalent knowledge.Minimum Experience:

Three years of related experience.Physical Capabilities:

Reports to Director, NAE Office of Outreach & Communications. Program Officer is available to organize work, set objectives, and to assist in problem resolution for work on awards program.Compensation Range:

The National Academies of Sciences, Engineering, and Medicine support equity, fairness, and transparency in our compensation programs. An estimated compensation range for this position is $23.04 - $28.79 per hour. Compensation offered to the selected candidate will be based on the candidate's relevant knowledge, skills, and work experience, commensurate with compensation of current employees in comparable positions with similar knowledge, skills, and work experience, and subject to budget parameters. Note it is not typical for a candidate to be hired at the higher end of the range.Work Environment:

The National Academy of Engineering is currently operating in a Hybrid Office/Telecommute environment at 40% onsite.
