Position Overview

Hoffmann Architects + Engineers is searching for an

entry to mid-level marketing professional

to join our team in downtown New Haven. The Marketing Coordinator provides the essential role of creating proposal packages that win new projects for the firm. This is a writing-intensive position that requires responding accurately and persuasively to the requirements of a Request For Proposal/Qualification (RFP/Q). Brainstorming new ways to market the firm and helping the company stand out from the competition are key responsibilities. This role leads marketing efforts by developing collateral materials, preparing presentations, and keeping records of project information. Hoffmann offers a hybrid in-office and remote work environment.

Since 1977, Hoffmann has specialized in the rehabilitation, preservation, and design detailing of facades, roofs, plazas/terraces, parking garages, and historic/landmark structures. With offices in CT, NY, and VA, Hoffmann is an award-winning specialty architectural and engineering firm that has built a reputation for excellence by resolving building exterior distress at major symbols of the country’s architectural heritage, such as the Chrysler Building, the United States Capitol building, the New York Stock Exchange, and the Smithsonian Institution.

Primary Responsibilities

Produce winning architectural/engineering proposals and qualifications submissions.

Develop collateral materials, including project descriptions, resumes, service profiles, organizational charts, and technical approaches.

Coordinate with consultants and other outside firms to respond to project opportunities.

Prepare and manage client agreements.

Maintain Customer Relationship Management (CRM) system.

Maintain client list and references.

Create presentations and graphic materials for interviews, conferences, and seminars.

Coordinate and manage logistics for trade shows and conferences.

Develop and procure promotional items and giveaways.

Provide graphic design and coordinate production as needed for ads, jobsite banners, poster boards, brochures, and other company materials.

Monitor print and digital materials for consistent branding.

Create and update website content and monitor website traffic analytics.

Coordinate with other team members to create and manage email campaigns.

Partner with technical staff in pursuing and responding to award opportunities.

Support social media communications.

Report continuing education credits and provide certificates of completion for accredited seminars and technical articles.

Perform related duties as assigned or required to meet firm goals and objectives.

Other Duties and Expectations

Participate in professional/community organizations and activities.

Attend conventions/seminars.

Required Education and Experience

Bachelor’s degree in marketing, business administration, communications, or a related field.

Experience in marketing or business development, preferably in professional services.

Equivalent combination of academic and professional experience.

Required Qualifications

Proficiency with Adobe software products (specifically InDesign and Photoshop) and Microsoft Office.

Excellent command of English grammar, spelling and composition, as well as oral communication and interpersonal skills.

Ability to work under the pressure of multiple deadlines and with multiple stakeholders while ensuring high quality of product.

Personality to take initiative and to be persistent.

Exceptional organizational skills.

Ability to prioritize.

Preferred Qualifications

Understanding of Architecture, Engineering, and Construction (AEC) industry terminology and procedures.

Experience in marketing AEC services.

Experience with SF330 forms and with developing qualifications and proposals for federal and state agencies.

Experience with CRM systems.
