Job Description
Classification Title:Conference-Event Planner IIJob Description:Responsible for processing requests, scheduling of events, and providing assistance to customers that sponsor activities at the JWRUResponsible for using computer software systems to provide comprehensive event services to JWRU customers; determine space availability, enter reservations, reserve equipment and create room diagrams based on information provided by customerResponsible for processing on-line reservation requests; review, interpret, input and modify event needs in the computer software system and create and update event diagramsResponsible for processing customer cancellations and no shows and carrying out appropriate follow-up proceduresEnsure high level customer service in all interactions
Responsible for general customer support functionsRespond to customer inquiries via telephone, e-mail, and walk-in visitsConduct facility tours for prospective clientsPrepare confirmations for event reservation requestsResponsible for using a computer database system to review event permits submittedCompile, review, and process billing for event reservations as directed ensuring accuracy in rate plans and applicable fees
Hiring, training, retention, and supervision of student staffRecruit, train, supervise, and evaluate student staffPerform necessary timekeeping and approval processesProvide oversight and direction to student office staff processing reservation requests, updating reservation details, and providing general customer support as directedAssist with developing and updating training manuals and training sessionsAssess the effectiveness and efficiency of the training operation. Offer advice on changes that will improve the operationConduct appropriate redirection and retraining of student staff as directed
Responsible for general office and administrative support functionsDisseminate diagrams and room set up information to all support services including productions, catering, and building managementReview Building Reports and follow-up with clients and campus partners as neededUpdate organization contacts in reservation system as neededResponsible for purchasing office supplies and equipment for Event Services and Event Operations including review and submission of shopping carts, submission of purchase orders, and proper account codingAttend meetings as directed to communicate and/or receive information relevant to Event Services
Develop reports, handle special projects, and other duties (as assigned)Expected Salary:$22.03 - $22.51Minimum Requirements:Bachelor's degree and two years of relevant experience; or a high school diploma and six years of relevant experience. Appropriate college coursework may substitute at an equivalent rate for the required experience.Preferred Qualifications:Experience with event planning, scheduling, and on-site event managementProficiency with computers and basic software applicationsPlanning and organizational skillsCommunication skills (verbal and written)Customer service skillsInterpersonal skillsAbility to handle high volume of detail work with accuracyHandle multiple projects or tasks simultaneouslyFunction effectively in a fast-paced environment with frequent interruptionsUnderstand, interpret, and apply rules, regulations, policies, and procedures
