Position Summary

Under the direction of the Project Manager, the Grant Coordinator position provides grant project support to Alaska Primary Care Association's (APCA) Workforce Development & Health Equity (WF/HE) teams. The primary responsibility of this role is to work closely with WF/HE managers and project team members to meet organization, department, and grant goals and objectives effectively and efficiently.

The Grant Coordinator is responsible for monitoring, and continuous progress tracking of activities within assigned workforce training grant projects. This position is also responsible for collaborating with members of the Workforce Development & Health Equity (WF/HE) team to coordinate events and communication with grant stakeholders, and to manage and maintain documentation associated with grant projects.

Essential Duties and Responsibilities

Other duties may be assigned, as necessary.Track and regularly assess project progress and engagement using various strategies and tools including (but not limited to): software, databases, digital platforms, one-on-one communication, feedback surveys, etc.Coordinate, collect, organize, and update documents and communication related to assigned projects, programs, services and/or activities.Monitor deadlines, contracts, subrecipient agreements, MOUs, activities, and tasks associated with assigned grant projects.Assist with implementation of WF/HE grant activities. Some examples may include (but is not limited to): coordinating data and document collection, scheduling meetings with internal and external customers and partners, researching guidelines and best practices, submitting grant information and reports into funder systems, and monitoring project timelines.Support, assist, and contribute to the preparation of agency, department, and grant reports.Report project status, outcomes, and/or risks to the appropriate management channels as needed or requested-escalating issues as necessary based on project work plans.Follow and contribute to the development of APCA policies and guidelines relevant to workforce projects as assigned.Provide excellent customer service to internal and external customers, APCA staff, stakeholders, and partners.Act as a point of contact for subrecipients, contracted vendors, and/or partners and facilitate communication with other APCA project staff.Participate in technical assistance training, office hours, webinars, and/or learning activities associated with assigned projects.Grain knowledge and expertise of grant data portals and submission processes. Troubleshoot submission and access issues with funders' staff or help desk.Oversee daily administrative, operational, and logistical activities/tasks associated with WF/HE projects as assigned.Foster a positive, collaborative, and efficient work environment.Other duties as assigned.Qualifications / Knowledge

Required

Associate's degree in related field or related year for year experience may be substituted in lieu of education.1 year of experience in project and/or data coordination.Excellent interpersonal, written, and oral communication skills supported by documented experience and professional references.Demonstrated proficiency in use of a computer for work processing, spreadsheet use, communication via email, and for conducting research via the Internet. Proficiency with Microsoft Office and Windows required.Preferred

Bachelor's degree in related field3 years of experience in project and/or data coordination.Previous experience in community health centers, the Alaska healthcare industry, primary care associations, social service, and/or non-profit settings.Skills and Abilities

Works under the direct supervision of Workforce Development & Health Equity Director. Performance is assessed through review of work, integration, and cooperation within the Department and APCA, communication with all stakeholders, quality and timeliness of deliverables and associated criteria.Language Skills

Required

Fluency in written and spoken English required.Superior written and oral communication skills.

Travel Required

In-city travel by personal vehicle for meetings, tasks, and errands as needed. In-state travel may occur. Mileage is reimbursed per APCA policy.

Hours per Week

This is a full-time position, 40 hours/week. Generally, hours are 8:00 a.m. to 5:00 p.m.

Work Environment

Duties will generally be performed in an office setting with travel and associated accommodations throughout the local area, the state of Alaska, and the Lower 48 as needed.
