Basic Function

Responsible for drafting, editing, reviewing, and proofreading policies, procedures, guidelines, reports and related materials for accuracy, content and compliance. Manages the master database and filing system for such documents and internal communications. Provides support to the Executive Vice President and staff. Performs duties in a safe, efficient manner and in compliance with applicable rules and safety procedures.

Responsibilities and Specific Duties

* Researches and creates original drafts of text for new policies and related documents and updates in accordance with the department's writing style.* Reviews and edits policies and related documents for both content (completeness, accuracy, appropriate language, spelling and grammar) and form (organization, visual design, usability, and ease of understanding).* Reviews publications and recommends revisions or changes in approach, scope, format, test, method of production and dissemination. Ensures documents meet established standards.* Organizes and proofreads required technical and business material using word processing software per established corporate standards with respect to order, style, terminology, and sequencing.* Verifies facts using standard reference sources and maintains document trail of changes and comments to documents.* Periodically audits and reviews publications to determine whether format or content changes/updates are required. May meet with subject-matter experts for concurrence regarding content changes to ensure common understanding of materials to be produced.* Assists document originators with organizing content based on approved processes, templates, and forms.* Coordinates follow-up and tracking of multiple projects and documents, including the progress of revisions and approvals, and provides periodic status reports as required. Coordinates the approval of documents.* Creates policy communication support publications and presentations for Authority Compliance Office.* Participates in the development of content ideas and organization of compliance library.* Maintains database of compliance master documents; maintains records, files, and archives for corporate references.* Manages, organizes, and updates compliance document filing system; maintains office filings/records system according to METRO's records retention program. Manages policy document development and revision cycle.* Manages, organizes, and maintains Authority Compliance department project calendar and provides administrative support to EVP and staff.* Maintains confidentiality of compliance reporting matters and the Ethics and Safety Hotline.* Maintains, organizes and edits compliance department webpage of searchable documents.* Remains current on new developments in technical writing, editing and publishing, including technological enhancements that may affect the corporation.* Provides excellent customer service to METRO internal and external customers.* Applies SMS (Safety Management System) methods and principles in daily routine and supports all aspects of the agency's Public Transportation Agency Safety Plan (PTASP).* Promotes safety awareness and follows safety procedures to reduce or eliminate accidents.* Performs other job-related duties as assigned.

Education Requirement

Bachelor's degree in English, Journalism, or Communications or a related degree is required.

Years & Experience Required

A minimum of two (2) years professional editing/writing experience and project coordination or maintenance of business or technical documentation is required. Experience in a corporate entity or governmental agency environment is preferred.

Knowledge & Skills Required

Advanced knowledge of Microsoft Office Suite including Word, Excel, PowerPoint, and Share Point. Strong knowledge of document editing, document management, and publishing software (Adobe Acrobat Pro or Adobe InDesign) is required. Excellent communications (written and verbal) and organizational skills. Must be detail-oriented with the ability to work well independently. Good interpersonal skills with the ability to work with all levels of management.

The Metropolitan Transit Authority of Harris County, Texas has a zero-tolerance drug and alcohol policy for all employees.
