Position Summary

The Marketing Assistant position reports directly to Michael Ausman, COO and Partner, and Frank Weber, Marketing Partner at Talley LLP. Your primary focus will be to proactively support the marketing department in achieving both daily and long-term objectives, contributing to the overall success of Talley LLP.

In addition to closely collaborating with Michael Ausman and Frank Weber, you will also assist other Partners, including Troy Abercrombie, Todd Tillman, Thomas Champieux, and Matthew Talley, as well as the administrative team, by supporting various daily activities and tasks. This role requires a proactive and adaptable individual who is eager to contribute across multiple areas of the firm.

Long-term objectives for this role include:

Assisting in the creation of marketing collateral for internal and client use.

Managing the Client Relationship Management (CRM) system.

Supporting Partners and Managers on marketing initiatives and activities.

As a Marketing Assistant at Talley, you will play a vital role in supporting the Partners, Dept Managers, and their respective departments sales & marketing initiatives. You will be expected to think proactively, work independently, and contribute to streamlining the sales process and management of our CRM system.

Essential Functions / Key Deliverables

Daily:

CRM updates

Weekly:

Creating and assisting with developing new leads and opportunities through the full sales cycle.

Generating task reports from CRM; following up with individuals to confirm current status and next steps on marketing follow-up activities.

Updating Sales & Marketing-related BSC (Balanced Scorecard) metrics for both individuals and each Department.

Monthly:

Preparing month-end CRM reports

Compiling month-end BSC reports

Inputting call lists into CRM

Ongoing:

* Managing projects outside the scope of typical responsibilities

Supporting business development with CRM contacts, prospects, and opportunity updates

Conducting internet research as needed

Registering for conferences as required

Preparing marketing packages for conferences and events

Booking flights, hotel reservations, and car services as directed

Time entry as needed

Partner Group and Directors

Updating CRM and sending reminders for overdue items

Generating Partner reports for review and discussion.

Firm-Wide Responsibilities

Generating weekly CRM reports

Preparing management meeting reports (e.g., revenue reports)

Managing weekly newsletter campaigns

Creating and revising marketing collateral, including one-pagers, pocket cards, and website content

Basic website management

Assisting with miscellaneous administrative and marketing projects

Preferred Attributes

Minimum of 2 to 3 years of experience as a marketing or administrative assistant, or a combination of both.

Prior experience in project management is preferred

Bachelor’s degree preferred

Ability to maintain strict confidentiality on all matters

Highly motivated with strong initiative

Willingness to work beyond defined job responsibilities

Social, people-friendly demeanor with a high level of creativity

Initiative-taking and innovation in enhancing firm branding

Excellent written and verbal communication skills

Experience with CRM systems preferred

Meticulous and thorough

Proficient in Microsoft Office applications including but not limited to PowerPoint, Word, and Excel)
