The Team

Across our work in Science, Education, and within our communities, we pair technology with grantmaking, impact investing, and collaboration to help accelerate the pace of progress toward our mission. Our Central Operations & Partners team provides the support needed to push this work forward.

Central Operations & Partners consists of our Brand & Communications, Community, Facilities, Finance, Infrastructure/IT Operations/Business Systems, Initiative Operations, People, Real Estate/Workplace/Facilities/Security, Research & Learning, and Ventures teams. These teams provide the essential operations, services, and strategies needed to support CZI's progress toward achieving its mission to build a better future for everyone.

The Opportunity

The Executive Assistant to the Brand + Communications team is an opportunity for an experienced individual to join a fast-paced team working to build trust, credibility, and engagement to inspire audiences to champion and contribute to our mission. This role reports to the Vice President of Executive & Family Office Communications and supports this role as well as other senior members of the Brand + Communications team including those with responsibilities for internal, digital, and science communications. The ideal candidate will be highly organized, with a proactive, problem-solving mentality and excellent collaboration and communications skills.

What You'll Do

* Handle an extensive array of administrative tasks for the Vice President, Executive & Family Office Communications and other members of the Brand and Communications team: wrangle hectic calendars and prioritize time, book travel, plan events, expense reporting, etc.* Anticipate needs and proactively seek appropriate resources to support your executive and the team* Build and develop cross-functional relationships internally and external partners* Identify new systems and processes to help drive increased leader and team efficiency, effectiveness and impact* Partner with other executive assistants cross-functionally to improve organizational practices and processes* Other tasks as requested, including but not limited to team-specific and cross-functional event planning and project support work

What You'll Bring

* 5+ years of professional experience with related administrative, operations or project management with prior experience supporting complex, integrated teams in a fast-paced environment* Experience successfully supporting executive-level leaders with wide scopes of responsibility* Excellent written, verbal and interpersonal communication with the ability to build positive relationships easily and with authenticity* Can easily work with ambiguity and shifting priorities* Excellent judgment while handling highly confidential and proprietary matters* Agility and flexibility in a fast paced and collaborative environment* Strong time management skills with outstanding attention to detail and the ability to multitask and prioritize across projects to meet goals* Ability to learn quickly and ask for help when needed* Tech savvy, comfortable communicating virtually and learning new office tools (especially Google Apps like Gmail, Calendar, Docs, Spreadsheets and Slack)* Passion for our mission and desire to contribute to an innovative organization!

Compensation

The Redwood City, CA base pay range for this role is $49.03 - $73.56 (hourly). New hires are typically hired into the lower portion of the range, enabling employee growth in the range over time. Actual placement in range is based on job-related skills and experience, as evaluated throughout the interview process. Pay ranges outside Redwood City are adjusted based on cost of labor in each respective geographical market.
