POSITION SUMMARY

This position serves a vital role in maintaining the day-to-day operations of the Communication Studies Department. The Communication Studies Department is seeking an organized and motivated person to perform secretarial duties in support of all faculty. The ideal candidate will be detail-oriented, with strong communication skills and passionate about supporting students and faculty.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE

Maintains Communication Studies office in accordance with university and college specifications.

Provides administrative support for Health and Science Communication, and Sports Communication and Media programs, which are closely affiliated with the Communication Studies Department.

Works cooperatively as a team member with faculty and staff.

Helps facilitate budget in collaboration with the Department Chair

Receives calls and visitors at the office and responds to emails, as appropriate.

Prepares, inputs, and maintains Rowan University forms and systems, including Gathers and records information for Adjunct/OL Expenditure summary and the annual report for the Dean.

Provides other information and reports as requested by the chair.

Oversees processing of override, prerequisite waivers, and change of major forms.

Processes and reconciles credit card purchases for Communication Studies using the web-based service.

Processes travel requests via Concur for Communication Studies

Coordinate with Department Chair, Dean's Office, and Office of Scheduling on submission of schedule proofs and revisions to schedule through SCAF forms.

Maintains equipment in the office including laser printer, copier, and computers. Provides support on use when required.

Maintains working relationships with purchasing, accounts payable, duplicating, and bursar to maintain and control limits set on faculty’s Rowan cards.

Assists in coordination of student trips and travel.

Ensures that all necessary information for new hires is collected, such as transcripts, necessary forms, and background check paperwork for submission to Dean and Provost.

Takes minutes at department meetings, types the report, and distributes to appropriate individuals.

Provides support and performs duties at select CCCA and Communication Studies events.

Performs other duties, as assigned (e.g., parking, help facilitate faculty onboarding)

Ability to use and/or learn support software (Concur, Banner, Cayuse, PageUp, OnBAse, etc.) in coordination with faculty and campus offices

Possesses excellent oral and written communication skills.

Has expertise in budget development and management.

Demonstrates excellent communication, interpersonal, analytical, organization and conflict resolution skills.

Skills and Abilities:

Technology: Working knowledge of Excel, Microsoft Word, PowerPoint, email, discipline related software, and internet.

Language Skills: Ability to communicate effectively and interact tactfully with all levels of the college staff, students, and trustees; read, analyze, and interpret documents, budgets and contracts; and respond effectively to sensitive inquiries or concerns.

Reasoning Skills: Ability to define problems, collect data, and draw valid conclusions based on facts.
