Position Overview:

Reporting to the Director of Design and working closely with all Design team staff, the Design Coordinator is responsible for the daily upkeep and organization of the Design Office and Studio. The Design Coordinator supports multiple functions within the Design department and assists with communications with other museum departments and external design-related collaborators.

Essential Functions:

Communications and SchedulingCompile and maintain the production scheduleCommunicate with external design-related collaborators and vendorsSchedule design reviews and maintain deadlinesSchedule meetings with Design staff and internal museum staff as well as external vendorsBook meeting roomsAttend weekly production meetings and monthly install planning meetingsOffice and Studio Management

Order office and studio supplies.Order images from internal photo department or research and order images through external sourcesOrganize display case inventory and keep track of related display apparatusAdministrative Office Support

Generate purchase orders and process invoicesTrack costs versus budget for department and exhibition projectsMaintain department’s operating budgetProcess museum related forms for Design staffArchive completed projectsOrganize materials library and process sample requestsHelp plan department related functionsOther duties as needed or requiredSecondary Functions:

Production

Assist with production and prep work during busy timesAssist with scaling images for inclusion in 3D and CAD drawingsAssist and liaise with project managers in order to maintain production milestonesQualification Requirements and Characteristics

Bachelor’s Degree in relevant studies2 to 5 years related experience in a fast-paced environmentFluency in the Adobe Creative Suite and Microsoft OfficeFamiliarity with Oracle procurement systemsStrong organizational, administrative, and communication skillsAbility to work collaboratively, professionally and gracefully with a wide range of colleagues and vendorsExcellent organizational and planning skills with ability to multi-task without compromising attention to detail and follow-throughAble to work under stressful situations and tight deadlinesAbility to complete projects within budget and on scheduleFamiliarity and appreciation for design, art history and museumsA commitment to support the Museum’s values of Inclusion, Diversity, Equity and Access (IDEA)Physical element: During demanding exhibition projects/schedules, must be able to stand and move around for extended periods of time

Salary and Schedule:

Salary: $54,000 - $57,000

Full-Time, 35 hours per week
