We are pleased to invite applications for a full-time People Services Associate (PSA). The PSA will contribute internal administrative support such as team and office project management, and facilities coordination to the goals and mission of the ACLU-WA by ensuring staff have the tools and resources they need to do their job while making sure the work environment is welcoming and inclusive. The PSA position reports to the Deputy Director and is a member of the People Services Group (PSG). People Services is the backbone of the organization, working to support our staff with the understanding that advancing racial justice starts internally through the vendors we select, the policies we create, and the culture we build.

DUTIES & RESPONSIBILITIES

Office Support

• Mail pick-up and processing

• Manage ACLU-WA phoneline, voicemails and online submissions

• Manage, including taking inventory and ordering, office supplies

• Serve on office safety team to ensure safety standards are followed throughout office

• Communicate with staff, building management, and vendors, as needed

Team and Project Management

• Provide administrative support for the PSG, including cross-departmental collaboration

• Electronic and paper file management

• Draft, format, and proof-read e-mails, letters, guides, and other materials

• Schedule meetings, take notes, prepare background materials, and handle and track follow-up actions

• Participate in different subcommittees and sub-projects to improve the work environment and culture

• Assist People Services with any help needed on special projects

• Occasionally assist other departments or staff with special projects

• Oversee team meetings by setting agendas, taking minutes, scheduling, etc.

• Manage ACLU Admin Calendar and events

• Manage departmental databases

• Occasionally manage departmental projects

• Support coordination with other departments and help facilitate the smooth running of the office

Facilities Support

• Source and act as a liaison with outside contractors

• Assist with space planning

• Maintain physical space, ensuring a safe, clean, and functional environment for all accessibility and accommodation needs

• Receive, manage, and process work order requests; ensure requests are resolved quickly

• Collect specified data from various sources towards improving the organization’s efficiency

• Monitor entry and maintenance office needs

Other Responsibilities

• Participate in ACLU-WA’s race equity work, which may include utilizing ACLU-WA race equity tools and adopting ACLU-WA race equity practices

• Occasionally attend and staff ACLU events

• Other duties as needed

QUALIFICATIONS

• 2+ years of prior administrative experience in an administrative setting or providing administrative or other operations support, preferably related to non-profits or an advocacy environment

• Excellent customer service skills with a customer service orientation that enjoys figuring out how to make others’ jobs easier

• Excellent time management and organizational skills with the ability to multi-task and adjust to frequently changing demands

• High attention to detail and problem solving

• Experience working in a collaborative environment, but also able to work independently

• Computer and technology proficiency with MS Office Suite with a demonstrable ability/willingness to learn new software; experience with Adobe Acrobat Professional, Zoom, and ASANA is a plus but not necessary

• Commitment to confidentiality and privacy

• Excellent writing, editing, and proofreading skills

• Strong interpersonal and communication skills, over the phone, by email and in person, with staff, volunteers, allies, and other outside callers

• Proven ability to work well with people with a wide range of interests, skills, and concerns from a range of backgrounds and lived experiences

• Understanding and commitment to race equity, civil liberties, and civil rights

• Ideal candidates will have an awareness of, and willingness to engage in, the difficult and transformative work of challenging systems of oppression, institutional and structural racism, and implicit biases

• An understanding of and enthusiasm for civil liberties and civil rights and a commitment to advance racial justice, both internally in our organization and externally in the communities that we serve

• No post-secondary degree necessary

Physical Requirements

• Use a computer for six (6) plus hours

• Ability to work in and navigate downtown Seattle office for various work-related tasks

• Able to carry up to 50lbs, with or without an accommodation

LOCATION : Seattle, Washington

CLASSIFICATION : This job description provides a general but not comprehensive list of the essential responsibilities and qualifications required. MENTAL DEMAND : The nature of this work can be emotionally demanding and requires thoughtful and clear communication and resilience.

WORKING CONDITIONS : This position requires maintaining some physical file records and word processing and is expected to observe an in-person hybrid workstyle. This position is required to work in the office a minimum of two (2) days per week.

WORK ENVIRONMENT : The ACLU-WA observes a hybrid workstyle, with some staff working primarily remotely while others work in the office several days a week.

Our office is generally open between the hours of 9 a.m. and 5 p.m. and is located in downtown Seattle. The physical demands and work environment described below represent those required and encountered by an employee to perform the essential functions of this job. TOTAL COMPENSATION : The ACLU-WA seeks to provide equitable and competitive compensation for attracting and retaining staff with the skill, judgment, and perseverance to confront challenges to civil rights and civil liberties and build a state where all people live with dignity and equity, enjoying freedoms unimpeded by racial and economic injustice and other forms of oppression. We provide a mix of compensation for staff that is intended to address today’s needs and allow planning for tomorrow and into retirement. As such, the ACLU-WA has adopted a salary scale for measuring how to best compensate its employees.

The salary for this position is $60,180 to $74,120. A range indicates the intention to accommodate those with varying years of relevant experience, as determined by the salary scale. Non-exempt employees observe a 35-hour work week with a 1-hour lunch break.

Generous benefits include three weeks of vacation, thirteen sick days with an additional ten days given in 2024, fifteen holidays, employer-paid professional development, fully paid employee medical, dental, vision, and disability insurance, an employer contributed retirement plan, student loan reimbursement, family care and adoption assistance, life insurance, and an ORCA card, the regional transportation pass.

ACLU-WA provides laptops, home office supplies, certain equipment, and technology support. You will need an effective Wi-Fi connection and a way to communicate by phone. This position is eligible for either a work phone or phone stipend, as well as an additional $150 stipend each month to help cover any additional costs while working from home.
