This collaborative vision will deliver ever more exciting, thought-provoking and inclusive audience and community experiences – while increasing the gravitational pull of our art form, our company, and our city.Lyric Opera of Chicago is searching for an Executive Assistant (EA) to support the General Director, President & CEO, the Music Director, and other members of the Executive Leadership Team (ELT). The EA will provide executive-level support and regularly interact and build trusting partnerships across all levels within the organization. Under the supervision of the General Director, the EA provides direct administrative support to both the General Director and Music Director by maintaining daily schedule and agenda, assisting in scheduling meetings between senior Lyric staff and select members of the Board of Directors, and planning of international and domestic travel as required. The EA also provides scheduling and Board of Directors support to the Chief Financial & Operating Officer and the Deputy General Director, specifically where their activities intersect with the General Director’s. The EA also serves as a liaison with other arts and civic organizations, helps maintain relationships with a broad range of internal and external VIPs, and serves as the primary coordinator for artist participation in special events.DUTIES AND RESPONSIBILITIES:Demonstrate leadership in alignment with Lyric’s mission and vision.Provide executive-level support to the General Director, President & CEO, Music Director, and other members of ELT while efficiently executing on a wide variety of planning and scheduling activities.Provide support to the General Director and ELT in a variety of planning and scheduling activities, including:Manage an extremely active and dynamic calendar of appointments for the General Director and other ELT members and provide support for meetings, scheduling, materials collection, meeting notices, and other duties.Compose and prepare correspondence, including those of a confidential nature.Compile documents for travel-related meetings; track and complete expense reports.Assist in coordinating committee meetings and other special functions on behalf of the Office of the General Director and/or ELT, including opening night performances, lectures, and similar events.Support the Music Director, Enrique Mazzola, as required, including but not limited to:Communicate with both internal and external parties, on behalf of the Music Director.Manage the travel schedule, including ground transportation for Chicago and Lyric-related tripsAdminister all aspects of the calendar, including but not limited to rehearsal schedule, coaching, music administration meetings, donor engagements, interviews, community outreach, press opportunities, and other duties.Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.Handle confidential and sensitive concerns with a tactful and discreet approach across the organization to include dealings with stakeholders, the public, artists, and staff.As a member of the Office of the General Director, embody and lead through IDEA ideology, principles, and in support of organizational goals.Support general office administrative duties, including phone coverage, office management, and handling guest relations for internal and external visitors.As the business evolves, so may this role. These duties may change as Lyric’s leadership identifies the need at any time.KNOWLEDGE AND SKILLS:Bachelor’s Degree from an accredited college or university in business or equivalent experience.At least 3-5 years of Executive Assistant experience supporting senior executives at C-suite level, with at least 1 year of arts management experience preferred.Demonstrated exemplary professionalism, which includes maintaining high-level confidentiality.High attention to detail in managing multiple activities and tasks.Demonstrated success in building trusting relationships across all levels within an organization.Ability to prioritize tasks and assignments with a sense of urgency.Outstanding communication skills, both verbally and written, with the ability to interact professionally and positively with various personalities and management styles.Demonstrated technical skills:Microsoft and Google suites productsAbility to work and think independently, a motivated self-starter who works well in a larger team.WORK CONDITIONS:Ability to work evening or weekend functions or performances, including working off-site as needed..Sitting for extended periods, and must be able to lift 30 lbs.Ability to operate a computer and to handle other office equipment.COMPENSATION:

Job Classification: Full-time, ExemptSalary Range is
