The Biomimicry Institute is a fully remote organization. However, preferred candidates are from the states of Montana, New York, Ohio, Pennsylvania, Virginia, and West Virginia. This position is a part time (.5 FTE), 20 hour per week position.

Even if you don’t think you are a perfect fit, apply anyway - you might have qualifications we haven’t even thought of yet.Job PurposeThe role of the Finance + Admin Assistant is an integral part of the Business Office responsible for assisting with bookkeeping and other financial administrative duties. The Finance + Admin Assistant supports the Director of Finance and Administration in basic bookkeeping duties including but not limited to accounts receivable, accounts payable, payroll benefits record keeping, data entry, and special projects as assigned.Finance Tasks:Data Entry:

Input financial data into accounting software and maintain accurate records. Maintain staff credit card software and receipt filing. Enter customer payments and deposits.Invoice Processing:

Prepare, review, and process invoices for customer payment.Expense Reports:

Responsible for invoice entry and payments. Compile and review employee expense reports for reimbursement and credit card reports.Grant Reports:

Assist in the preparation and compilation of grant financial reports.HR and Financial Reporting:

Assist in the preparation of financial reports and statements; assist with compliance reporting and reconciliation for state and federal payroll agencies.HR Benefits and Tasks:Assists the HR Generalist with benefits administration and other administrative needs.Administrative Tasks:Scheduling:

Coordinate and schedule meetings, and travel arrangements for organizational retreats and events as needed.Project Management and Correspondence:

Manages the organization’s virtual phone and calendar system; assists in the setup of Asana project management system for the full administrative department.Record Keeping:

Maintain and organize company records, both physical and digital. Assists in the management of the organization’s virtual filing system.Technical Support:

Serve as point of contact for any software platforms or subscriptions used by the Institute. Maintain an up-to-date computer, IT inventory and asset ID list.Customer Service:

Provide support to partners, addressing inquiries and directing them to the appropriate personnel; assist with contractor management, including the tracking and filing of contractor paperwork.QUALIFICATIONSEducation and Experience:

Employee should have a bachelor’s degree or an associate's degree in accounting with a minimum of 2-3 years’ expertise preferably in non-profit accounting. Highest regard for confidentiality and exemplary ethical standards is necessary, as well as the ability to manage multiple tasks and projects under the pressure of deadlines while constantly adhering to internal control procedures and guidelines. QuickBooks, G-Suite, Microsoft Office Suite and proficiency with Excel required. Specific knowledge of biomimicry is encouraged; new hires without this experience will be asked to complete training (e.g. fundamentals course) in biomimicry. Highly developed business math skills. Knowledge of administrative and clerical procedures such as word processing, file and record management. Strong aptitude for using the digital tools the Biomimicry Institute uses—with little to no assistance, and willing to try out new technologies and work tools. Virtual meeting software includes Asana, Box, Slack, and Zoom. Confident, energetic, and dedicated to the mission of the Biomimicry Institute. A successful track record in setting priorities; keen analytic, organization and problem solving skills which support and enable sound decision making. Keeps track of responsibilities and meets deadlines and goals. Adaptable—manages a constantly changing remote work environment; learns to collaborate with geographically dispersed new team members. Clear, direct, and succinct writer. Self-sufficient—takes the initiative and completes work without undue supervision. Strong communication and relationship building skills.
