Job Summary:

The Event Planner conceptualizes event theme, itinerary, etc. Develops and manages event budgets. Oversees the implementation, execution, and follow-up for events hosted on- and off-campus. Creates invitations. Selects sites. Creates seating arrangements. Negotiates with florist, caterers, event space staff, print shops, etc. Manages on-site contract staff, students, and etc.

Additional Department Summary:

Plans, budgets, implements, and assesses all events occurring both on and off campus for Honors College. Assists with the overall image of the Honors College regarding VIP guests, donors, alumni, potential and enrolled students, parents, campus partners, visiting faculty, and guest lecturers. Promotes and markets events and provide appropriate communication with constituents. Oversees and operates the budget allocated for each event. Makes payments with a p-card and reconciles with Concur or coordinating payments with Departmental Transfers (DTs). Oversees events that include those associated with alumni, development, and other Honors College committees, faculty, academic programs, external constituents, and student events. Oversees alumni engagement events, student networking events, convocation, college open houses, scholarship dinners, medallion ceremonies, receptions, employer information sessions, faculty | staff events, Board of Visitors events and meetings, homecoming, guest speakers, development events, and other events as directed by the Dean and/or External Relations and Communications Program Director. Supports the events of our Honors College programs (Randall Research Scholars Program, Witt University Fellows Program, Achieve Scholars Program, University Honors Program, External Scholarships and Fellowships, and the Kennemer Center) as needed. Works with the External Relations and Communications Program Director to prepare constituent lists prior to events which may entail prospect/ constituent identification and with post event activities, logging of attendance, follow up, stewardship, and communications. Manages promotional items and event supplies for the Honors College. Recruits and oversees event volunteers.

Required Minimum Qualifications:

Bachelor's degree and two (2) years of event planning or coordination experience; OR master's degree.

Additional Required Department Minimum Qualifications:

Must have valid U.S. driver's license. Must be at least 19 years of age at time of hire and have an acceptable Motor Vehicle Report that is in compliance with University policies. Applicants under the age of 21 will have some driving restrictions.

Must be able to travel out of town, occasionally overnight. Must be able to lift at least 40 pounds.

Skills and Knowledge:

Exceptional organizational skills. Excellent verbal and written communications skills. Ability to work at rapid pace to plan multiple events at the same time. Ability to creatively develop and execute a vision. Excellent computer skills and knowledge of Microsoft Word, Excel, PowerPoint, and Outlook.

Preferred Qualifications:

Knowledge of and experience with graphic design, Adobe Creative Cloud, Qualtrics, Concur, and reconciling budgets. Knowledge of the University's financial accounting, purchasing and travel policies, and procedures. Experience with social media. Experience with creating invitations, programs, place cards, and other materials in Adobe Creative Cloud - InDesign or Adobe Express.
