Job Summary:

The Marketing and Events Assistant will play a key role in planning, coordinating, and executing premium events, including vehicle rallies, cruise-ins, and other high-profile automotive experiences. This role requires a dynamic individual who can manage multiple projects simultaneously, foster relationships, and ensure the successful delivery of contracted deliverables. The ideal candidate will have a strong background in event planning, project management, and hospitality.

Key Responsibilities:Event Planning & Execution:Assist in the planning, coordination, and execution of premium events such as vehicle rallies, cruise-ins, and otherrelated experiences.Collaborate with internal teams and external vendors to ensure all logistical details are managed efficiently.Manage the outreach to participants, sponsors and museum partners to obtain information and create materials, schedules and communication before and after events.Develop detailed event plans, including schedules, resource allocation, and contingency planning.Assist on-site event operations to ensure smooth execution and provide exceptional experiences for attendees.Provide and review schedules and information for the website, newsletters, internal communications, ticket pages and event materials such as rally books. Coordinate timely delivery of merchandise and other associated materials.Partnership Coordination:Provide administrative support for sponsors and partners helping to ensure mutual satisfaction.Assist in the delivery, tracking, and reporting on contract deliverables for sponsors and partners, ensuring all commitments are met on time and within scope.Coordinate with internal teams to ensure sponsor and partner visibility and recognition across all event communications and materials.Project Management:Maintain project plans for each event, including timelines, milestones, and deliverables.Regularly update stakeholders on project status, highlighting potential risks and recommending solutions.Track and report on event performance, including post-event analysis and feedback for continuous improvement.Manage multiple projects simultaneously, ensuring all events and partnership deliverables are executed on time and within budget.Manage and update Trello project boards to track and update progressRelationship Building:Cultivate strong relationships with key stakeholders, including sponsors, partners, vendors, and participants.Reporting & Analysis:Prepare detailed reports on event outcomes, partnership deliverables, and overall project performance.Analyze event and partnership data to identify trends, opportunities for improvement, and areas for growth.Qualifications:3+ years of experience in event planning, project management, or partnership coordination.Strong organizational skills with the ability to manage multiple projects simultaneously.Excellent communication and interpersonal skills, with the ability to build and maintain relationships with diverse stakeholdersProven track record of successfully seeing projects through competition managing events and delivering on partnership commitments.Ability to work under pressure and meet tight deadlines.Passion for the automotive industry is a plus.Working Conditions:

Ability to travel as required for events.Flexibility to work evenings and weekends as needed to support event execution.
