Qualifications, skills, and all relevant experience needed for this role can be found in the full description below.Reporting to the Associate Vice President of Artistic Operations, the Artistic Operations Coordinator will be primarily responsible for providing administrative coordination and support to Artistic Operations departments, including all guest artist activities throughout the school year, such as coordinating and supporting artistic projects and programs, including, but not limited to, guest artist logistics and payment processing. Administrative support will also be provided and coordinated with the Ensemble Operations, Production, Concert Operations, and Piano Tech departments.The position requires excellent communication and collaboration with internal departments, including Production, Advancement, and Finance, as well as artists and external industry partners. The position will assist with the scheduling and organization of the Artistic Operations office, and ensure that projects and tasks are completed in a timely manner and at the highest levels. The ideal candidate for the position is also passionate about working with musicians and supporting their artistic goals and projects.Principle Duties and ResponsibilitiesThe Artistic Operations Coordinator will:Assist the Associate Vice President of Artistic Operations with project managementAssist the Director of Artistic Operations in the administration of all guest artist visits

Update and maintain artist informationCommunicate artist needs to appropriate stakeholders

Serve as a liaison between the various departments that fall within the Artistic Operations umbrella, including Ensemble Operations, Production and Concert OperationsDraft artist contracts and coordinate execution process between the Artistic Operations office and artist managementSubmit, track, and reconcile all guest artist payments and reimbursementsAdvance guest artists’ travel and lodging arrangements as neededSupport the Artistic Operations department in annual season planningMaintain project management timelines and ensure that deadlines are metEnsure accurate record-keeping and file storage for all relevant dataConcert duty as neededPerform other duties as assignedRequirementsTwo years of basic administrative experience in a collaborative working environmentOutstanding interpersonal skills; must interact with a diverse group of people with confidence.Requires professional maturity with excellent judgment and decision-making skills.Patience, perseverance, sense of diplomacy, tact and discretion.Ability to multitask while maintaining strong attention to detail.Compensation & ScheduleThis is a part-time position.
