Lake Port Square is recruiting for a hospitality focused Marketing & Sales Coordinator to join our team!
Here are the essential responsibilities of the Marketing & Sales Coordinator:Answers and directs incoming phone calls and manages the lead distribution systemGreets and serves all visitors to the marketing office in accordance with the Life Care Services Extraordinary Impressions programPlans and implements all elements associated with marketing events within the approved budgetPrepares and updates marketing and sales reportsProcesses all sales, cancellations, transfers and associated documentationResponsible for maintenance of marketing systems, including C3 Leads and C3 LinC, and capable of producing data results and system generated reportsProcesses invoices and is responsible for maintaining budget performance spreadsheetsManages the office by tracking inventory and ordering office supplies, collateral, and other printed materials within the approved budgetMaintains and updates the office schedule including events, staff schedules and appointmentsUpdates the Community website and manages other digital responsibilities as assigned including taking an active role in the community social media strategyAssists with the preparation of the annual marketing plan by creating data tables, compiling components created by others and producing the final planCoordinates and creates the marketing newsletterProvides coverage at front desk as neededServes as the primary marketing and sales contact for communication with other departmentsProvides administrative support to the Marketing and Sales Director and Residency Counselors as requestedRedirects residents to the appropriate contact for questions, comments or concernsMaintains a professional appearance at all timesAttends meetings as requestedAssists and guides future residents in available selections (kitchens, flooring, colors, upgrades)Communicates with internal stakeholders including community leadership and other departments along with vendors as needed for construction/physical plant changesPrepares closing documentation and internal communication timely and accuratelyServes as the primary contact with the future resident regarding move-in dates and details surrounding the move-inUpdates as needed the community move-in resource guideAssumes responsibilities for personal work areas and maintaining areas in a presentable mannerHere are a few of the qualifications we need you to have:
Administrative degree and a minimum 3 years' experience or high school diploma and minimum of 5 years' experienceOrganizational SkillsExperience in a professional office setting or hospitality environment, where good communication (especially telephone) and customer relation skills are essentialProficient in the use of various software including Microsoft Office applicationsStrong written and verbal communication skillsExcellent keyboarding and proofreading skillsAbility to multitaskTakes InitiativeWhat We Offer:
