Senior Event Planner

to join our team and rise to the challenge of empowering service.Position Highlights:The Senior Event Planner is responsible for planning, coordinating and executing the logistics for the annual international convention, educational seminars and meetings. Responsibilities include management of convention center and arena logistics, catering, AV production, freight, exhibit hall/general service contractors, temporary personnel, and other projects as determined by the Department Manager.What You’ll Do:Conduct complex event management under minimal supervision and with wide latitude for independent judgement.Manage all logistical components of the annual international convention which hosts 12,000-18,000 attendees over (6) days in a different international city each year.Write detailed RFPs as assigned annually for the required services that go out for bid including AV, general services contractor, translation, freight logistics, printing, and more. Analyze bids and negotiate to help determine which vendor would be the best selection to meet our needs.Analyze convention center and arena venues to determine the best assignment of space for all official convention events including general sessions, seminars, catered functions, registration, and exhibit halls.Manage catering for numerous large-scale functions, ensuring appeal to a global audience with special dietary requirements within budget parameters.Ensure event project timelines are communicated to internal and external partners and kept up to date, year over year.Deliver objectives within budget and ensure project timeline is progressing, monitoring tasks and workload amongst team.Provide superior customer service and support to Senior Leaders on planning and execution of events.Conduct regularly scheduled status meetings from pre-launch through operation, and ongoing programs/events, with client and project teams.Conduct pre- and post-meeting briefings with suppliers and facility providers.Manage the new city bid process. Review and provide analysis of city-wide convention bids including benchmarking hotel rates, gathering data from the bidder and other departments to add to the analysis. Compile the analysis for presentation to the LCI Board of Directors.We’re Looking for Someone With:Bachelor's degree in hospitality management, public relations, business, event planning or equivalent experience.Experience managing international events with more than 10,000 attendees.Experience working in a convention or convention hotel setting.Five to seven years’ experience in meeting planning or equivalent combination of education and experience; international convention and trade show experience is a plus.CEM or CMP designation a plus.Ability to travel, domestically and internationally; approximately 10% travel time or 30 days per year.Why You’ll Love Working Here:Lions Clubs International has excellent benefits for you and your family.
