Seeking a Sales and Catering Coordinator, who will play a crucial role in supporting the sales team by assisting with administrative tasks, coordinating events, onsite day-of assistance, and providing exceptional customer service to clients. Responsibilities
Assist the sales team in managing inquiries, proposals, and contracts for group bookings, meetings, and events. Coordinate event logistics, including room setups, audiovisual equipment, catering arrangements, and transportation services. Maintain accurate and up-to-date records of sales activities, client interactions, and event details using the hotel's CRM system. Maintain communication with group clients regarding the status of their group room block. Respond promptly and professionally to client inquiries via phone, email, and in-person meetings. Collaborate with other hotel departments, including banquets, housekeeping, reservations, and front desk, to ensure seamless execution of events and exceptional guest experiences. Prepare and distribute event orders, banquet event orders (BEOs), and other relevant documentation to internal teams and vendors. Handle/Book group inquires or needs for mountain activities. Assist with final billing. Assist with conducting site tours and providing information about lodging facilities, services, and amenities to prospective clients when needed. Knowledge of all operations and services within resort that relate to support and service of group accounts. Attend sales meetings, training sessions, and industry events to stay informed about market trends and competitor activities. Perform additional administrative tasks and special projects as assigned by the Director of Sales and Marketing. Qualifications
EDUCATION and/or EXPERIENCE Minimum of 1 year of administrative or hotel experience, preferably in a sales or events-related role. High school diploma or equivalent required Excellent communication skills, both written and verbal, with the ability to interact professionally with clients, colleagues, and vendors. Strong organizational skills and attention to detail, with the ability to prioritize tasks and meet deadlines in a fast-paced environment. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with CRM software (e.g., Salesforce, HubSpot). Ability to work independently as well as part of a team, demonstrating flexibility and adaptability as needed. Professional appearance and demeanor, with a commitment to providing exceptional customer service. Willingness to work flexible hours, including evenings, weekends, and holidays, as required by the demands of the position. ABILITIES
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Ability to interpret and perform basic math functions such as calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Must be able to work with and understand financial information and data. Computer knowledge required. Excellent knowledge of MS Office programs required.
Experience with Delphi and SMS a plus.
