Your Opportunity

The Marketing Administrative Assistant is responsible for providing administrative, operational, and project-related support. This position will serve as a resource to members of Stantec's Water Strategic Pursuits Team.

Your Key Responsibilities

Schedule meetings, often across multiple global time zones, and organize background/support materials, as required.

Organize and set up various staff meetings, quarterly meetings, as required.

Coordinate onboarding and offboarding of staff members and consultants (includes computer and software management)

Support and assist with team travel arrangements, including booking flights, hotels, and car rentals through Stantec’s travel booking tool.

Coordinate approvals for timecards, vacation requests, expense reports, etc.

Asset management (includes tracking quarterly reports, overhead expenses, hardware and software purchases and licenses, etc.)

Special projects and additional assignments including data review/clean-up, MBD system updating and tracking, report preparation and distribution, and general business administration functions.

Data entry and updates monthly into marketing systems.

Qualifications

Your Capabilities and Credentials

Detail oriented and organized, with exceptional prioritization skills

Ability to effectively balance conflicting priority.

Commitment to client service and ability to work in a team-oriented environment.

Demonstrated proficiency with Microsoft Office applications including, but not limited to, Outlook, Word, Excel, and PowerPoint.

Ability to effectively communicate with senior management, supervisors, peers and clients, internally and externally.

Excellent written and verbal communication and interpersonal skills.

Ability to work effectively within a group as well as independently motivated with minimal supervision.

Must thrive working in a fast-paced environment.

Education and Experience

5 years of experience in an office environment providing administrative support to professionals.

Previous experience in a marketing or communications-related field.

Salary Range(s):

$31.00 Per Hour - $46.00 Per Hour Min/Max Pay Range for postings located in CO and HI and MD

SF Area $36.00/CA Other areas $31.00 PH - SF Area $52.00/CA Other areas $49.00 PH Min/Max Pay Range for postings located in CA (SF Area includes SF, SJS & WLC)

The final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible.

The benefits information listed above may not apply to union positions because benefits for such positions are governed by applicable collective bargaining agreements.
