Job Description

The Project Manager Material Review, Marketing Operations facilitates the management of Advertising & Promotional materials as they pertain to the U.S. Commercial MRP (Material Review Process).

The Project Manager Material Review, Marketing Operations ensures:

Facilitation of cross-functional team (Medical, Regulatory, Commercial, Legal, Compliance, others) review and approval of:

Advertising materials

Promotional materials

Sales Training materials

Promotional Labeling materials

Management of cross functional team members and advertising agencies

Open communication of material status with cross-functional team members and advertising agencies

Tactical support and project timeline oversight of materials through MRP

Consulting and training support to all team members responsible for uploading and approving materials within the MRP

Timely review of all promotional, non-promotional materials through U.S. Commercial, Medical reviewers, Regulatory reviewers, and other key stakeholders

Core Responsibilities:

Additionally, provide key support for:

Solutions and contingency plans to facilitate business success

Holds self and team accountable for results

Serves as a mentor and coaches others on the MRP

Proactively provides consulting; expertise and MRP process training to cross-functional team members

Evaluates and updates processes to adapt to a changing environment and to optimize Efficiencies

Coordinating logistics to ensure timely production, fulfillment and shipment of materials

Process Management:

Manages the review process for promotional and non-promotional materials that are routed through the MRP

Perform “Final Sign-off” on material submissions uploaded into Veeva

Validate that the metadata / review tier aligns with the submitted material s

Determine if legal/compliance is required

Determine if Editorial Quality Check is required

If additional reviewers are not aligned with the selected review tier, tag additional reviewers and update review tier as necessary

Ensure sources files are uploaded into the Veeva for production vendors

Validate all back-end approvals prior to routing material to Regulatory Affairs for Office of Prescription Drug Promotion (OPDP) submission

Oversee release of approved material for distribution

When material withdrawal is required, inform inventory vendors

Initiate production of updated package inserts

Identify promotional material that needs inventory updates and Initiate inventory update process

Cross-functional team meetings: Project manages a team of 10 to 20 cross-functional team members

Schedule, manage and facilitate formal concept review requests, schedules live review meetings to resolve and discuss reviewer comments (i.e., Tier 1 reviews, Formal Concept Reviews)

Creates and communicates weekly review team meeting agendas

Prioritize and schedule any additional live meeting requests (e.g., exceptions, revise & resubmits) as needed

Schedule and facilitate weekly live prioritization meetings with business owners

Review dashboard within Veeva to understand upcoming volume of materials being planned for submission

Act as a neutral facilitator in project discussions, summarizes team agreements and maintains required documentation of discussion outcomes

Maintain a positive, energetic, and engaged attitude and approach to work under times of stress

Communication

Attend brand and tactical planning meetings to understand upcoming workload

Send material status notifications through MRP

Work closely with Compliance to address identified issues, as needed.

Notify Fulfillment Center, Business Owner or Interactive Agency of material status

Develop, maintain, and track process metrics, communicating results to all stakeholders.

Provide regular updates to relevant stakeholders on the health of the advertising and promotional review and approval process.

When an existing piece is updated / changed, run report to identify in-market materials that are impacted and need to be updated / expired – alert Business Owners

Consistently communicates timely and accurate information and project progress to project owners

Supports the development of solutions and contingency plans to facilitate business success

Shares and documents best practices/lessons learned to enhance overall business success

Regularly communicates with project owners / vendors to ensure that project timelines are aligned with business needs and expectations

Experienced at identifying, applying, and socializing lessons learned

Significant Work Activities-Continuous sitting for prolonged periods (more than 2 consecutive hours in an 8-hour day)

Qualifications

5+ years’ experience in Project Management

Some understanding of Veeva or review systems

Some experience working with print and digital formats

Bachelor’s Degree in Business Management, Science Education, Communication or related

Understanding of the MLR process and associated policies and systems

Pharmaceutical industry knowledge

Knowledge and prior experience in marketing, and communication or advertising agency experience

Working knowledge of Adobe Acrobat; MS Word, MS Excel, MS PowerPoint and Veeva PromoMats

Possesses ability to learn and adapt to other software tools as necessary

Travel:

The ability to travel up to 25% of the time needed

​The compensation range described below is the range of possible base pay compensation that the Company believes in good faith it will pay for this role at the time of this posting based on the job grade for this position. Individual compensation paid within this range will depend on many factors including geographic location, and we may ultimately pay more or less than the posted range. This range may be modified in the future.​

This job is eligible to participate in our short-term incentive programs. ​

Salary: $80,500 - $153,000
