Job Summary:

The Creative Project Operations Manager plays a critical role in optimizing project management processes, focusing on implementing tools, methodologies, and strategies that enhance cross-team collaboration and streamline workflows. This role serves as the central point for all project-related information, ensuring clear communication of timelines, progress, and deliverables. The ideal candidate will have a strong background in project management tools, automation, and creative operations, with a proven ability to identify process improvements and increase productivity.


Duties/Responsibilities:


Project Management & Workflow Optimization:

  • Implement and optimize project management tools (e.g., Asana) to streamline workflows, automate task tracking, and provide real-time updates on project status.
  • Develop and refine project management methodologies to improve efficiency and reduce project bottlenecks, ensuring adherence to project timelines and quality standards.
  • Collaborate with creative, marketing, and production teams to ensure smooth execution of projects from initiation to completion.
  • Maintain a project dashboard to track key performance indicators (KPIs) related to deadlines, budget, and resource allocation.
  • Evaluate current workflows and develop strategies to automate repetitive tasks and improve process efficiency, using tools such as Slack integrations, task automation, and other project management software features.

Cross-Team Collaboration & Communication:

  • Act as the central hub for project-related information, ensuring all teams have access to updated timelines, progress reports, and deliverables.
  • Facilitate effective cross-team communication, ensuring that stakeholders are aligned on project objectives and deadlines.
  • Organize and lead project kickoff meetings, progress check-ins, and post-project debriefs to maintain clarity and focus throughout the project lifecycle.
  • Develop and implement collaboration strategies that improve communication and efficiency across creative, production, and marketing departments.

Process Improvement & Efficiency:

  • Identify areas for process improvement within the creative operations framework and implement solutions that reduce bottlenecks, improve team productivity, and enhance project outcomes.
  • Monitor project execution to ensure it aligns with best practices in project management methodologies such as Agile or Scrum, adapting techniques as needed to suit the creative environment.
  • Analyze project performance data to identify inefficiencies and propose actionable insights for improvement.
  • Manage resource allocation, ensuring that project teams have the necessary tools and bandwidth to meet deadlines.

Required Skills/Abilities:

  • 7+ years of experience in project or operations management, preferably within a creative or marketing environment.
  • Strong expertise in project management tools such as Asana, with a demonstrated ability to optimize and automate workflows.
  • Proven ability to improve project tracking, communication, and team efficiency through process enhancements and task automation.
  • Exceptional organizational, leadership, and communication skills, with experience managing complex projects involving multiple teams.
  • Strong knowledge of project management methodologies (e.g., Agile, Scrum, Kanban) and the ability to adapt these frameworks for creative operations.
  • Proficiency in data analysis and reporting tools to track KPIs and drive continuous improvement.

Physical Requirements:

  • Ability to work in a fast-paced office environment with the flexibility to manage multiple projects simultaneously.
  • May require occasional travel for project meetings or team collaborations.
