Follow @abbvie on X, Facebook, Instagram, YouTube, LinkedIn and Tik Tok (https://www.tiktok.com/@abbvie) .Job DescriptionThe Project Manager Material Review, Marketing Operations facilitates the management of Advertising & Promotional materials as they pertain to the U.S. Commercial MRP (Material Review Process).The Project Manager Material Review, Marketing Operations ensures:Facilitation of cross-functional team (Medical, Regulatory, Commercial, Legal, Compliance, others) review and approval of:Advertising materialsPromotional materialsSales Training materialsPromotional Labeling materialsManagement of cross functional team members and advertising agenciesOpen communication of material status with cross-functional team members and advertising agenciesTactical support and project timeline oversight of materials through MRPConsulting and training support to all team members responsible for uploading and approving materials within the MRPTimely review of all promotional, non-promotional materials through U.S. Commercial, Medical reviewers, Regulatory reviewers, and other key stakeholdersCore Responsibilities:Additionally, provide key support for:Solutions and contingency plans to facilitate business successHolds self and team accountable for resultsServes as a mentor and coaches others on the MRPProactively provides consulting; expertise and MRP process training to cross-functional team membersEvaluates and updates processes to adapt to a changing environment and to optimize EfficienciesCoordinating logistics to ensure timely production, fulfillment and shipment of materialsProcess Management:Manages the review process for promotional and non-promotional materials that are routed through the MRPPerform “Final Sign-off” on material submissions uploaded into VeevaValidate that the metadata / review tier aligns with the submitted material sDetermine if legal/compliance is requiredDetermine if Editorial Quality Check is requiredIf additional reviewers are not aligned with the selected review tier, tag additional reviewers and update review tier as necessaryEnsure sources files are uploaded into the Veeva for production vendorsValidate all back-end approvals prior to routing material to Regulatory Affairs for Office of Prescription Drug Promotion (OPDP) submissionOversee release of approved material for distributionWhen material withdrawal is required, inform inventory vendorsInitiate production of updated package insertsIdentify promotional material that needs inventory updates and Initiate inventory update processCross-functional team meetings: Project manages a team of 10 to 20 cross-functional team membersSchedule, manage and facilitate formal concept review requests, schedules live review meetings to resolve and discuss reviewer comments (i.e., Tier 1 reviews, Formal Concept Reviews)Creates and communicates weekly review team meeting agendasPrioritize and schedule any additional live meeting requests (e.g., exceptions, revise & resubmits) as neededSchedule and facilitate weekly live prioritization meetings with business ownersReview dashboard within Veeva to understand upcoming volume of materials being planned for submissionAct as a neutral facilitator in project discussions, summarizes team agreements and maintains required documentation of discussion outcomesMaintain a positive, energetic, and engaged attitude and approach to work under times of stressCommunicationAttend brand and tactical planning meetings to understand upcoming workloadSend material status notifications through MRPWork closely with Compliance to address identified issues, as needed.Notify Fulfillment Center, Business Owner or Interactive Agency of material statusDevelop, maintain, and track process metrics, communicating results to all stakeholders.Provide regular updates to relevant stakeholders on the health of the advertising and promotional review and approval process.When an existing piece is updated / changed, run report to identify in-market materials that are impacted and need to be updated / expired – alert Business OwnersConsistently communicates timely and accurate information and project progress to project ownersSupports the development of solutions and contingency plans to facilitate business successShares and documents best practices/lessons learned to enhance overall business successRegularly communicates with project owners / vendors to ensure that project timelines are aligned with business needs and expectationsKey SkillsProficient project management skills, demonstrating the ability to balance competing prioritiesAbility to forecast, prioritize, multitask, and manage multiple jobs in a fast-paced, rapidly changing environmentCapable of making informed, data-driven decisions under tight deadlinesCompetent in data, analytics, and measurementStrong interpersonal skills with the ability to collaborate well with othersAbility to quickly learn, adapt to, and comply with business needs, policies, and guidelinesExperienced at identifying, applying, and socializing lessons learnedSignificant Work Activities-Continuous sitting for prolonged periods (more than 2 consecutive hours in an 8-hour day)Qualifications5+ years’ experience in Project ManagementSome understanding of Veeva or review systemsSome experience working with print and digital formatsBachelor’s Degree in Business Management, Science Education, Communication or relatedUnderstanding of the MLR process and associated policies and systemsPharmaceutical industry knowledgeKnowledge and prior experience in marketing, and communication or advertising agency experienceWorking knowledge of Adobe Acrobat; Individual compensation paid within this range will depend on many factors including geographic location, and we may ultimately pay more or less than the posted range.
