Our growing company seeks an experienced Homeowners' Association Portfolio Manager with work experience including contract & financial management; working with Board of Directors, homeowners, and vendors; balancing community needs with community budgets; performing property inspections, tracking and following up on issues; and soliciting bids for maintenance and/or renovation projects.
The Association Manager will handle homeowners’ calls, assign work orders, solicit bids, process design review requests, handle notices and violations, and do financial data reviews. Managers have contact with boards of directors, homeowners, and private contractors serving the association while managing condominium or townhome and homeowner associations in accordance with the management contract, and the Bylaws and Declarations of the Association by performing the following duties personally or through subordinates.
Job Duties include but are not limited to:
- Confers with representatives of Homeowners' Association and Board of Directors to collaborate and determine management priorities.
- Maintains good public relations and interacts with clients, customers, and co-workers in a positive, respectful and professional manner at all times.
- Evaluates the financial status of the Association and prepares annual budgets for review.
- Updates the Board of Directors on CC & R's policies & procedures & provides information on current industry developments.
- Coordinates and attends meetings. To include weeknight meetings.
- Prepares and presents agendas, management reports, and board packets.
- Research issues and presents the Board of Directors with recommendations.
- Determines work procedures, prepares work schedules, and expedites workflow.
- Oversees collection of monthly assessments from residents, including lien and legal notices.
- Directs activities of association contractors including maintenance, janitorial, guard, and landscaping staff who perform routine repairs, maintain buildings and grounds, and patrol areas to maintain a secure environment.
- Provides authorization for payment of invoices in accordance with the management contract.
- Maintains contact with the insurance carrier, fire protection, police department, and other agencies having jurisdiction over property to ensure that the association is complying with codes and regulations of each agency.
- Performs routine community inspections.
- Investigates resident disturbances, violations, or complaints, and resolves problems in accordance with regulations established by the Board of Directors.
- All employees are expected to perform any reasonable work requested that falls within the qualification but is not specifically described.

- Attendance of evening board meetings as required.
- Due to the high volume of correspondence, it is necessary to have the ability to effectively communicate orally and in written forms.
- Must possess and use good interpersonal skills with other employees and the public.
- Must be punctual, efficient, an independent worker, a detail-oriented person and possess good work habits.
- Must have excellent follow-up and organizational skills
- Must be able to perform and/or manage multiple tasks, projects, and priorities concurrently with a positive attitude and approach.
- Ability to act and dress professionally in the work environment.
- CMCA certification is preferred or must be willing to pursue upon hire.
