Job Summary:

We are seeking a detail-oriented and enthusiastic Event Assistant to join our team and support the planning, coordination, and execution of various events. The Event Assistant will work closely with the Event Manager and other team members to ensure smooth operations and an exceptional attendee experience. This role is ideal for someone with excellent organizational skills, a passion for event planning, and a desire to grow in a fast-paced environment.

Responsibilities:
  • Assist in the planning and execution of events, including conferences, trade shows, corporate meetings, and social gatherings.
  • Coordinate logistics for events, such as vendor setup, catering arrangements, transportation, and registration.
  • Manage event registration lists, prepare attendee badges, and ensure accurate guest check-in procedures.
  • Assist in setting up and tearing down event spaces, including decorations, signage, audio-visual equipment, and seating arrangements.
  • Serve as an on-site point of contact to troubleshoot issues and provide support for attendees, vendors, and staff.
  • Maintain accurate records of event expenses, receipts, and invoices for budget tracking.
  • Contribute creative ideas to improve attendee engagement and enhance event experiences.
  • Conduct post-event evaluations to gather feedback and analyze results to suggest improvements for future events.
Qualifications:
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent communication and interpersonal skills.
  • Attention to detail and a proactive, problem-solving attitude.
  • Ability to work flexible hours, including evenings and weekends, as required by event schedules.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with event management software or CRM tools is a plus.
