Event Planner will be responsible for coordinating and facilitating in-person or virtual meetings or special events.

In this role you will....

  • Participate in the planning and implementation of forums, workshops, seminars, roundtables, data exchanges, symposiums, and /or conferences (herein 'events') as directed.
  • Coordinate all aspects of events in accordance with customer specifications including assisting with selecting and negotiating event locations/sites.
  • Coordinate with and schedule event participants.
  • Work with team to promote speaking and attendance opportunities as well as working out scheduling to afford key participants access and contribution to the event.
  • Develop event information papers, handouts, materials, advertisement, and after-event summaries for each event; for example design, development, and coordination on agendas, participant materials, and related documentation (timelines, handouts, biographies, etc.).
  • Identify, in conjunction with DoD oversight and input, key speakers/panelists for events.
  • Draft, coordinate, and send invitations (hardcopy and/or digital depending on event).
  • Track RSVPs and advocates for alternate invitees if alternate choices are required/desired.
  • Write after event reports to summarize proceedings, assess outcomes, and share knowledge.
  • Manage logistical arrangements for conferences including reimbursement forms, invoices, and reports after event has ended.
