Job requirements

The Proposal Writer will be responsible for crafting compelling RFP responses and winning proposals for our benefits administration services. This role requires collaboration with Sales Executives and Subject Matter Experts (SMEs) and utilizing internal resources to research and gather relevant information. The Proposal Writer drafts high-quality, accurate proposals that adhere to formatting standards, and that are tailored to the unique needs of each client. The ideal candidate will possess strong writing skills, attention to detail, and a sense of urgency, as they will manage multiple projects while meeting strict deadlines.

What you'll be doing
  • Write clear, concise, and persuasive proposal content that effectively communicates the value proposition of our benefits administration solutions, while ensuring compliance with client requirements and internal standards.
  • Support the overall project manager in managing multiple proposals simultaneously, demonstrating a strong ability to prioritize tasks and meet strict deadlines.
  • Create original content, including proposal narratives, executive summaries, and client-specific documents that effectively communicate our value proposition.
  • Utilize our content management tool to maintain and organize proposal content.
  • Reference a variety of internal resources and tools to research, obtain and integrate specific information about Aptia into proposals.
  • Collaborate with cross-functional teams, including sales, operations and legal, to gather necessary supporting documents and materials for inclusion in proposals.
  • Assist in the development and maintenance of proposal templates, boilerplate content, and other proposal resources specific to benefits administration.
  • Learn and adhere to company brand standards in both writing and design, ensuring a consistent and professional presentation across all proposals.
  • Tailor proposals to individual client situations, conveying our strategy and demonstrating a clear understanding of their unique needs and objectives.
  • Edit and proofread proposals and content and for clarity, consistency and adherence to company branding standards.
  • Ensure compliance with internal procedures while actively seeking opportunities to enhance processes and improve the quality of each project.
  • Proactively seek learning opportunities and develop solution knowledge to inform proposals and related processes.
  • Develop and incorporate infographics and visuals using MS Word and our brand library to enhance proposal presentations, ensuring that complex information is easily digestible and aligned with company branding. (advantageous but not required)


What we're looking for
  • Bachelor's degree preferred; ideally in English, Communications, Business, or a related field.
  • Minimum 1-2 years of experience in proposal writing, preferably for a benefits administration provider or related industry.
  • Strong writing, editing and research skills with high attention to detail.
  • Proven ability to produce clear, compelling and persuasive written materials.
  • Strong organizational skills with the ability to prioritize and manage multiple proposals simultaneously.
  • Excellent communication and interpersonal skills, with the ability to work independently with a sense of urgency, and as part of a team.
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel), MS Teams and proposal management software.
  • Familiarity with creating infographics and integrating visuals in proposals is a plus.
